Introduction

Primary Purpose:
This Administrative Assistant position provides support for one or more managers by performing a variety of clerical and administrative tasks.
Essential Duties:
• Assist in credit card spreadsheet allocations and maintain electronic files as necessary.
• Maintains electronic files as necessary.
• Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data as needed.
• Responds to and resolves administrative inquiries and questions.
• Coordinates and schedules travel, meetings, and appointments for managers and/or supervisors.
• Prepares agendas and schedules for meetings as requested.
• Manage multiple projects simultaneously with timely follow through.
• Serve as event coordinator for outreach and meeting events.
• Make arrangements for needed facilities, furniture, catering, meeting/presentations.
• Manage departmental supply orders and distribution.
• Assist in translation of various documents and interpreting.
• Perform other related administrative duties and special projects as assigned.
Qualifications:
• Excellent interpersonal skills, the ability to work independently, and as part of a team.
• Strong writing skills and computer literacy are required.
• Serve as backup for Legal Department mail duties.
• Serve as backup for payroll/timesheet review and submission.
• Strong professional ethics and sensitivity in dealing with confidential matters.
• Highly organized, reliable and detail oriented.
Education:
Associate Degree or a minimum of 3 years equivalent work experiences.
Experience:
Experience working in an office, performing varied and specialized program and administrative tasks. Demonstrated experience in managing communications, maintaining administrative systems, preparing correspondence, uses standard office equipment and computer applications.
Other Skills:
Computer literacy is essential, with strong skills in spreadsheet, word processing and email applications. Ability to use standard office equipment in performing varied activities. Knowledge of a secondary language (Spanish or Creole) would be beneficial.
Special Requirements:
• Must have a valid driver’s license and suitable transportation.
• Must complete motor vehicle record check.
• Must be willing and able to travel.
• Background check required.
