We are seeking a temporary Specialist to support our San Diego Learning Lab team and remote learning programs. The San Diego Learning Lab is dedicated laboratory and learning space devoted to enhancing STEAM education in our community. During a normal school year, the lab hosts hands-on activities and programs where San Diego Unified School District students can visit Vertex and meet our employees, with the goal of inspiring scientific inquiry and developing the next generation of scientists. During the COVID-19 pandemic, all of our programming is conducted remotely via Zoom, so the ability to organize and navigate the remote learning environment is essential to this role.

The Learning Lab Specialist is a key part of the Learning Lab team managing all aspects of operations and logistics to ensure remote events run smoothly. The work will directly impact the students and teachers from San Diego Unified Schools by ensuring that the events are well organized. The Specialist will manage daily operations of the San Diego Learning Lab team and report to the Learning Lab Head.

Key responsibilities include:

  • Manage Lab Operations and logistics for San Diego Learning Lab Team
  • Manage operations, including scheduling and hosting Zoom meetings, webinars, and other remote learning platforms
  • Onsite, this includes: ordering lab supplies, equipment and inventory management
  • Oversee data collection and metrics reporting for the Lab, including Lab usage, student visits, etc.
  • Maintain systems of documenting and archiving Learning Lab programs and results
  • Manage San Diego Learning Lab email account
  • Track and log lab expenses to assist with budget management
  • Responsible for the San Diego Learning Lab calendar
  • Provide administrative and logistical support for the San Diego Learning Lab team (e.g. travel, expenses, scheduling, catering, vendor coordination, processing of purchase orders, invoices and contracts)
  • Assist with San Diego Learning Lab programming as needed
  • Work as a part of the Global STEAM Education team by interfacing regularly with the Specialists in Boston and Oxford Learning Labs
  • Coordinate with internal and external stakeholders
  • Partner with SDUSD CTE office and partner teachers to coordinate scheduling and logistics for all San Diego Learning Lab programming, including remote class visits, after-school programming, and any other school outreach programs and special events
  • Onsite, this includes: Assisting San Diego Learning Lab with lab set up, prepping classroom, coordinating transportation, scheduling lunch catering, greeting students and ensuring visits run smoothly.
  • Work closely with the CTE office to ensure good communication and alignment on issues impacting the Vertex/SDUSD relationship and programming
  • Coordinate with internal stakeholders from Vertex Security, Operations, catering liaison, Lab Services, EH&S, Internal/External Communications and Community Affairs
  • Work closely with Communications to share news and information about the San Diego Learning Lab (Twitter, web site, news stories, intranet)
  • Serve as a key logistical liaison between the lab, other Vertex sites and organizations/schools
  • Respond to requests for use of the laboratory by community organizations, employees, and other interested parties
  • Manage volunteer coordination, communication, and training
  • Cultivate and publish content on external San Diego Learning Lab/SDUSD website
  • Coordinate logistics of the 2021 Virtual High School Summer Internship
  • Organize and act as meeting manager for summer internship planning team
  • Work closely with San Diego Learning Lab Head to help develop curriculum and content
  • Be point person for HR and GIS teams for hiring needs - ensuring onboarding checklists are handled
  • Collaborate with external partners in the identification and recruitment of high school interns, as well as creating and facilitating enrichment workshops
  • Create the internship schedule with the planning team, and execute the necessary logistical steps
  • Prepare to measure and summarize key components following close of program

Minimum Qualifications:

  • Bachelor's degree
  • Ability to organize, multi-task and prioritize work; problem solve while meeting aggressive timelines in a positive manner
  • A collaborative, energetic and flexible team player who is willing to support a variety of activities as needed
  • Strong initiative, work ethic and ability to deliver results with little oversight; Demonstrates good judgment
  • Highly organized, and able to manage and coordinate schedules for a team
  • Ability to communicate effectively to a wide range of audiences with varying skill sets and/or levels of seniority
  • Project or program management experience, including budget management, with demonstrated attention to detail
  • Excellent presentation, administrative and communication skills

Preferred Qualifications:

  • Passionate about connecting students to cutting-edge technology and careers in STEM
  • Experience or interest working with diverse students in a teaching or mentoring capacity
  • Prior experience working with high school- and college-level students
  • Skilled relationship builder
  • Experience working in a research lab setting
  • Proficient or fluent in Spanish
