GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of work performed.

Acting under the direction of the Administrative Manager, the Surgical Pathology Coordinator II will work under general supervision to perform technical and clerical functions required for core front-end laboratory operations, database and materials management for clinical and research projects, conferences and courses. The Surgical Pathology Coordinator II is responsible receipt and return on materials sent for consultation, accurate verification and documentation of materials returned to the facility of origin. The Surgical Pathology Coordinator II will serve as the liaison between clients and BWH Pathology, managing the process for consult services and following on the timely receipt of slides and blocks.

PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.

Clinical Support Duties:

  • This position includes a high level of responsibility for receiving, documenting, and returning tissue slides and paraffin blocks associated with consultation cases. It also has a significant need for promptly interfacing with multiple individuals, institutions and the BWH Patient International Center for updates on the status of case materials.
  • Establishes a system to support returning consult tissue slides and/or paraffin blocks to the facility of origin and/or the International Patient Center.
  • Upon drop-off of materials to the consult service office, verifies all tissue slides and/or blocks of the case are returned and interfiles the material in numerical order. Follows up on any missing material, locates the material, and interfiles it with the case.
  • Responsible for returning and tracking consult slides and/or blocks to originating provider, ensuring HIPAA guidelines are followed.
  • Verifies consult material prior to sending out (reconcile what you are sending versus what was received).
  • Prepares materials for couriers, ground, and express shipping.
  • Inputs tracking information in the lab information system.

  • Non-Clinical Duties:
  • Responsible for daily handling, filing, tracking, and retrieval of consult slides. Must be able to verify status of all cases upon request.
  • Weekly processing and inter-filing of slides from approximately 500 to 1000 slides.
  • Files, faxes, emails and photocopies.
  • Maintains division specific databases and creates reports as needed.
  • Maintains office and orders supplies. Oversees cleaning and maintenance as directed.
  • Performs all other duties and responsibilities as directed.


  • Qualifications
    EDUCATION: Specify minimum education and clearly indicate if preferred or required

    High School Diploma or GED equivalent required.

    Associates Degree preferred.

    EXPERIENCE: Specify minimum creditable years of experience and clearly indicate if preferred or required

    Minimum 2 years applicable experience in a healthcare or laboratory setting required.

    Understanding and use of intermediate medical terminology required.

    Experience using PowerPath - preferred, but not required.

    Experience using EPIC - preferred, but not required.
