Job Summary

  • Assists with administrative needs related to the daily operations, planning, and implementation of student support initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
  • Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Provides assistance to student participants, stakeholders, faculty, and/or staff. Acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains student records and databases.
  • Schedules student appointments and provides directions, support, and information to students and other visitors to the department.
  • Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
  • Assists with ordering or creation of promotional materials for student groups or departmental needs.
  • Provides guidance to other Student Support Coordinators.
Other department responsibilities
  • Serves as a designated campus Certifying Official for the US Department of Veterans Affairs (VA) education benefit programs and provides direct student support as part of the VA education benefit processing team.
  • Assists students in completing required forms and collects documents for submission to the VA.
  • Assists students in resolving complex questions and problems regarding their education benefits and maintains electronic student files as required by VA regulations.
  • Provides departmental administrative support to the Center for Veteran and Military Students, an organization entrusted with compliance with complex federal and state regulations and policies affecting student veterans, military members, and their families.
  • Serves as the first office contact with students, parents, and other interested parties inquiring about education benefits and general support for veterans at IU.
  • Provides essential office information and process and route requests appropriately.
  • Oversees purchasing, arranges travel, and assists with reservations and catering.

Qualifications

EDUCATION

Required
  • High school diploma or GED.
Preferred
  • Associate's degree.
WORK EXPERIENCE

Required
  • Two years in an office environment, higher education, or a related field.
Preferred
  • Experience working directly with students and/or military members in an academic setting such as enrollment services, admissions, financial aid, academic advising, or veterans services.
  • Data entry and processing experience.

  • Understanding and familiarity with military culture, structure, and the experiences of the student population served by CVMS.
  • Knowledge of IU organization and support systems (SIS, ONBASE, VA Once, IUIE, SCOPE, etc.)

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
