GENERAL SUMMARY/ OVERVIEW STATEMENT:

Provides pre-award support to the Department of Neurology Research. The position demands resourcefulness, sound business communication skills, excellent prioritization, attention to detail, and exceptional customer service skills. Facilitates all facets of pre-award activities for sponsored programs. This includes ensuring sponsor and institutional guidelines compliance, timely submission of applications, and Just-in-Time and progress reports.

Receiving general direction from the Sr. Admin. Manager, the Sr. Grant Administrator is responsible for the pre-award management of research activities in a fast-paced, complex, compliance-driven atmosphere. The incumbent will collaborate closely with faculty on a wide range of activities, including developing grant submissions, Other Support preparation, a broad understanding of Hospital, department, and research management policies and procedures, and displaying a high degree of initiative and independent judgment. The Sr. Grant Administrator will serve as the primary resource for a group of Neurodegeneration Faculty with respect to the implementation of policies and procedures related to the Research Project application and updates/changes in grantor agencies' regulations and policies. This position requires discretion and judgment to organize priorities, complete tasks, and handle confidential information.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

PRE-AWARD APPLICATION SUBMISSIONS

  • Serve as a liaison between Partners Research Management, the PI, and Department in the development, preparation, and submission of grant and contract proposals (for NIH, industrial, foundation grants, sundry funds, clinical trials, etc.).
  • Transfer award information from pre-award to post-award
  • Manage multiple proposals concurrently while adhering to all necessary sponsor and Institutional guidelines and policies
  • Manage all pending proposals and timelines, staying up-to-date with current deadlines
  • Fully monitor and facilitate the Insight and ASSIST records while ensuring all fields are correctly completed and that all necessary information is loaded into the record
  • Communicate effectively with faculty and support staff any recommended or necessary changes to a proposal
  • Read, interpret and articulate instructions such as the SF424, Funding Opportunity Announcements, and IC/Center guidelines to investigators and tailor a checklist to meet the requirements of pending application
  • Develop pre-award budget and assist with justification preparation for federal, foundation and industry sponsors
  • Maintains a schedule of pre-award grant submissions
  • Organize pre-award documents to be contemporaneous, complete, and easy to query
  • Create clinical trial and industry basic science records in Insight
PRE-AWARD PROTOCAL, COMPLIANCE & DOCUMENT MANAGEMENT
  • Pre-award administrator will work in concert with lab/division compliance POC to ensure any relevant compliance documentation is updated to reflect potential/incoming funding/awards
  • Ensure protocols are linked to appropriate records in Insight
  • Ensure protocol staff are active and accurately assigned
  • May assist with the preparation and coordination of MTAs, DUAs, CDAs, etc.
  • Maintain up-to-date, accurate Other Support documents for both NIH and DoD compliance
DEPARTMENTAL and INSTITUTIONAL CONTRIBUTIONS
  • Serve as liaison with excellent customer service between PIs and Research Management/Finance/PCTO/Innovation/Compliance offices as needed
  • Advise and guide faculty and administrators seeking external funding for research and other sponsored programs through the complex process of proposal preparation and submission.
  • Provide management with suggestions/best practices/information to improve efficiency of department procedures and responsibilities based on experience
  • Participate in internal and external workgroups as assigned to improve research management systems and SOPs
  • May serve as backup to leadership and assist with training and development of team members.
  • Performs all other duties and responsibilities as directed


Qualifications
SKILLS/ABILITIES/COMPETENCIES REQUIRED:

  • Ability to independently research and interpret complex federal, private and industrial sponsor regulations.
  • Ability to work well under the pressure of deadlines.
  • Strong computer skills in MS Office Word and Excel, with a high degree of computer literacy
  • Ability to handle confidential and sensitive information.
  • Proficiency in financial analysis and keen attention to detail.
  • Skilled in negotiation and diplomacy with diverse stakeholders within the organization.
  • Strong verbal and written communication skills.
  • Ability to identify problems and develop solutions
  • Ability to work independently as collaboratively as a member of a team
  • Ability to manage high volume and complex transactions
  • Possess excellent analytical skills.

EDUCATION:

Bachelor's degree or equivalent experience.

EXPERIENCE:

Knowledge of NIH grant systems.

5 years of relevant grant management experience, preferably in an academic medical center department handling many diverse grants.

FISCAL RESPONSIBILITY (if applicable):

Develop budgets for application submissions utilizing appropriate Institutional and sponsor rates.

WORKING CONDITIONS:

Variable workload may cause frequent interruptions and the need to shift from task to task prior to completion will present time pressure production on situations such as grant preparation deadlines.
