Job Summary

UChicago Creative is the in-house agency at the University of Chicago. Like the community we're part of, we are a team of creative thinkers who thrive on challenges and excel at producing innovative solutions. Our expertise spans strategic assessment and brand positioning to creative direction and development to production and distribution. We partner with departments and units across campus to create communications that reach their goals while advancing the University's reputation. We capture the voice and vision of the University through a variety of media, including print, video, digital media, and photography. We address a full spectrum of creative challenges and develop solutions that may include a social media post to a fully integrated marketing campaign.

The Senior Creative Project Manager is responsible for managing multiple projects of various sizes simultaneously. Reporting to the Director of Creative Operations, the Senior Creative Project Manager collaborates with members of the UChicago Creative team, University Communications team, and clients from other University of Chicago departments to ensure that projects are executed on time, on scope, and on budget.

The Senior Creative Project Manager must understand and manage a variety of project types, from print to digital, website, social, and multimedia deliverables. They will use best-practice project management processes to achieve each project's overall strategic goal while further elevating the University of Chicago's brand. This person must be proactive, able to perform well under pressure, and nimble enough to solve problems and provide alternative solutions as changes arise during a project, while adhering to timeline, scope, and budget constraints.

The Senior Creative Project Manager will be the single point of contact for projects, managing all aspects including estimating scope of work, developing timelines, managing reviews and approvals, and communicate requirements and assignments to various team members. They will build positive relations with clients and consistently manage project expectations. They will lead weekly production/status meetings, manage creative staff to prioritize projects and deadlines to best meet department and client needs. Maintain forecasting and billing for each project as well as identify appropriate creative resources needed, manage the integration of vendor tasks, and provide overall project analytical guidance when necessary.

Responsibilities

  • Supervises complex projects, leading multiple disciplines in a coordinated effort/program.
  • Enables knowledge-sharing and quality assurance throughout the project life-cycle.
  • Gathers and organizes client-related assets. Includes subject matter experts in relevant stages of the project.
  • Organizes and sets clear expectations in regard to tasks and deliverables. Manages the timely progression of the project.
  • Maintains and distributes detailed notes, explicit task assignments, and meeting requests.
  • Sets up and runs all necessary key touch-point meetings in the process.
  • Organizes, manages, prioritizes and accountable for workflow from creative development through delivery of materials to client, vendor, etc.
  • Negotiates/communicates with team members every step of the way.
  • Works as liaison/communications hub between all team members and partners.
  • Ensures that proper forecasting is being done for all projects.
  • Manages and accountable for each step of the creative development process.
  • Manages projects from concept to completion as required, including meeting with clients, establishing goals, providing estimates, and tracking time and costs.
  • Collaborates with Director of Creative Operations to evolve workflow process and creative environment that continues to elevate the work we produce, advances our client service interactions, and streamlines our internal processes.
  • Acts as a resource for a project team and provides analytical guidance. Interprets complex project issues and provides analytical guidance to a project team.
  • Coordinates the successful integration of vendor tasks and tracks and reviews vendor deliverables.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Preferred Qualifications

Education:
  • Bachelor's degree.

Experience:
  • A minimum of 5 years of project management experience.
  • Project management experience within an agency environment working on large projects with five to ten team members and diverse stakeholders.
  • Experience or familiarity with communications in higher education.

Certifications:
  • Project management certification.

Technical Skills or Knowledge:
  • Experience in Harvest, Forecast and Basecamp.
  • Strong knowledge of project management best practices and processes, including software.
  • Strong knowledge of editorial and design workflows and processes.
  • Knowledge of print-production and digital process; multimedia.

Preferred Competencies
  • Balance up to 30 projects at one time and balance multiple, sometimes competing priorities.
  • Demonstrated self-starter with ability to solve problems proactively.
  • Excellent organizational skills with a strong attention to detail.
  • Strong interpersonal, writing, verbal, and communication skills.
