This position can also be based in any city near a Hershey Sales office.

Job Summary:

This Administrative Assistant will provide primary support to multiple members of the Food East Sales Team and assist in Industry Affairs operations activities as needed, including off-site meeting support, engagement activities, and other duties as assigned. The ideal candidate will possess strong business acumen, presentation and communication skills, as well as a high level of initiative, tact and professionalism.

Under limited supervision, this position will provide broad administrative support and will perform a variety of routine and non-routine duties.

Role Responsibilities:

  • MEETINGS & TRAVEL- Makes appointments and meeting arrangements and keeps calendar updated. Meeting arrangements may include coordination of scheduling with all attendees, room reservations, luncheon arrangements, etc. May also arrange for regularly scheduled off-site meetings/conferences. Using the services of the travel office, make domestic travel arrangements for various people.
  • DESIGN AND POWERPOINT SKILLS -- Work in presentation packages for designing reports and executive presentations. For reports and/or presentation materials, may use a combination of several software packages to create finished product.
  • WORD PROCESSING TASKS - Communicates through correspondence using the designated word processing software (Microsoft Word). This includes some knowledge of software features such as: mail merge, import and export, tables, columns, etc.
  • DRAFTING -- Drafts correspondence and presentations on own initiative or as based upon Leadership team's needs. This composing may be in the form of agendas, detailed itineraries, townhall decks, monthly reports, portions of reports, executive level presentations and critical correspondence.

Qualifications:

  • High school diploma required.
  • Associates or Bachelor's degree strongly preferred.
  • Minimum 2 years of administrative assistant experience at The Hershey Company or a minimum of 5 years progressive administrative experience.
  • Experience supporting individuals at a public company strongly preferred.
  • Design background and PowerPoint skills strongly preferred.
  • Technology fluency preferred.

Additional Insights:

Regular duties include, but are not limited to:

  • Scheduling appointments/meetings, coordinating travel arrangements.
  • Assisting in the preparation and design of presentations and written reports.
  • Reviewing and responding to incoming email and mail.
  • Identifying and tracking incoming email requests for to-do's and delivery deadlines.
  • Proactive problem solver of organizational and business issues as appropriate.
  • Assisting with management of work environment to meet business and team member needs.
  • Assist in industry events: maintain and update event agendas, attendee list and hotel rooming; order samples, displays, banners etc.
  • Own Summer Visitors Program- hotel accommodations, ticket, seasonal events, and invoicing.
  • Own Auction Winners Program- prepare packages, track winners, coordinate trip, and invoicing.
  • Manage All Event Tickets- track games and distribute tickets.
