Under minimal supervision, provides professional guidance, consultation, and support to students and University constituencies on matters, trends, and issues pertaining to advisement and/or retention of students in the College. With other senior staff, organizes and coordinates June advising for incoming students. Assists the Assistant Dean with onboarding, training, updating, and assigning of Lower Division Advisers and Student Advisers. Addresses or provides consultation on complex individual issues related to academic advising. Manages implementation of first year programming, courses, and assessment. Exercises good judgment and discretion in responding to inquiries and difficult cases. At the request of the Assistant Dean undertakes special projects in the Office of Academic Advising. Acquires and displays detailed and comprehensive knowledge of Wake Forest University academic policies and skill in communicating them clearly, accurately, and in the context of the university's mission and values. Maintains strong communication between the Office of Academic Advising and partner offices. Stays current on, shares, and implements best practices in academic advising at Wake Forest University and nationally.Job Description

Essential Functions:

  • Provides senior level support for multiple projects and operations of the Office of Academic Advising, as assigned by the Assistant Dean and in concert with other Senior Academic Counselors.
  • Manages OAA daily operations with fellow senior staff in the absence of the Assistant Deans and arranges coverage of the OAA front desk in the absence of the Academic Coordinator.
  • Manages programming for transfer students, non-traditional students, unique admissions, and other complex cases, as assigned by the Assistant Dean.
  • Manages elements of the training program for faculty and staff, lower division advisers to include supporting design, implementation and documentation for workshops and programming.
  • Supports the assessment of OAA activities and other advising at Wake Forest.
  • Shares management of First Year programming and course implementation, to include managing the build out of First Year Seminar and WRI 111 rosters for sufficient first year coverage; works with FYS Committee and departments to facilitate FYS reviews and approvals, assessments, and course-based advising.
  • Assists other Senior Academic Counselors in managing the OAA relationship and operations within the residential commons system.
  • Assists other Senior Academic Counselors in managing Lower Division Adviser Assignments and First Year Seminar recruitment.
  • Provides advisement to students and consultation and guidance to faculty and administrators regarding academic matters. Meets with students on a daily basis to process requests for study abroad approvals, late drops, late adds, and credit overloads. Communicates action on student cases to administrative offices on campus.
  • Assists other Senior Academic Counselors with June Advising, extended advising for New Student Registration, and OAA academic contributions to Forestry 101.
  • Tracks assigned students throughout their lower division, academic career, and consults with assigned students' academic adviser periodically to assure students are progressing academically.
  • Evaluates processes associated with student traffic and improves efficiency.
  • Assists in managing the process of year end academic deficiencies (disastrous semester, et.al.)
  • Serves as needed as the OAA designate on the Incident Review Committee, the Student Services and Engagement Initiative Team, Committees on Lower Division Advising and Orientation, the CARE team and other committees as assigned.
  • With other senior staff, consults with OAA deans to determine policies and procedures within OAA.
  • Serves as a liaison between students and the Committee on Academic Affairs.
  • Counsels students who find it necessary to leave the University. Coordinate's retention efforts for students desiring to leave and assembles retention data on for OAA records. Accepts and processes requests for readmission to the College. Works with faculty members and administrators to determine whether students have valid reason(s) to be withdrawn without penalty from individual classes or from an entire semester; communicates these decisions to other offices in the University.
  • Receives and investigates reports from faculty members and/or academic advisers regarding students with excessive absences, poor academic performance, and failure to attend class.
  • Assists in hiring process of office staff including assistance with onboarding and training of new hires.
  • Assists with the planning and execution of new student orientation.
  • Supports university efforts on retention and sustaining the residential commons (or other academic residential models).
  • Performs other related duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • Bachelor's degree plus three or more years of related experience, or an equivalent combination of education and experience.

Preferred Education, Knowledge, Skills, Abilities:

  • Master's degree in an academic discipline or academic affairs field, three years of dedicated academic affairs experience, knowledge of preprofessional advising.
  • Strong leadership ability and skill across the breadth of academic advising, displaying the highest level of professionalism.
  • Ability to build support and lead academic counselors in collaborative office work.
  • Knowledge of Wake Forest University academic policies and procedures or ability to learn in a short period of time.
  • Knowledge and understanding of student academic advisement, development, retention issues, trends, and programs.
  • Excellent written and oral communication skills.
  • Ability to communicate to varied constituencies in the university community.
  • Strong diplomatic skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to make decisions using individual discretion and independent judgment.
  • Ability to counsel students and communicate with faculty members, administrators, and parents.
  • Ability to perform multiple tasks and prioritize as necessary.
  • Proficiency in Banner, Microsoft Word, Excel, Power Point, web design and maintenance, the internet and other relevant software.
  • Proficiency in the use of various social media and communications to effectively communicate information and programming.
  • Ability to learn new software and systems, including student records systems.
  • Ability to maintain confidentiality of information and records; ability to manage and distribute information appropriately.
  • Ability to analyze and solve complex problems.
  • Ability to investigate and analyze information and to draw logical conclusions.
  • Knowledge of rules, regulations, and laws regarding student records.
