POSITION DESCRIPTION

SALES OPERATION SUPPORT SPECIALIST

Role objective:

To provide operational support to the National & Major Accounts team; specifically selected high-performing accounts as well as new business initiatives.

Key result areas:

Sales Support

For Assigned High Performing Accounts:

  • Enter requisitions into OneTouch
  • Submit candidates (matches) into VMS
  • Accept/decline jobs in VMS as needed
  • OneTouch miscellaneous data entry
  • AR collections support
    • Attend weekly AR calls to document what is needed and assist in collecting updated/necessary timesheets from contractors
    • Provide follow-up to Accounts Receivable/ Manager of Sales Operations
    • Partner with client contacts to assist in collections
  • VMS management and support
    • Complete onboarding checklists, login to look up rate/contract dates/info as needed
  • Weekly Activity Tracking
    • Obtain weekly activity reports from sales team; compile to master doc to send to N&M Accounts leadership as requested
  • Maintains data relevant to assigned client scorecards (SLAs, unique items required in order to remain compliant under agreement)

Sales Operations Support/ Compliance
  • Ensures contracts are fully executed sent to legal and housed on SharePoint
  • Works with internal stakeholders to establish a frequency for large account compliance audits
  • Ad hoc client reporting, data aggregation requests
  • Serve as Systems Expert related to proprietary systems (OneTouch, Salesforce)

Contractor Support
  • Liaison for on-boarding, compliance, payroll issues and expenses
    • Partner with payroll and AP to investigate payroll and/or expense discrepancies
    • Training new hires on timekeeping processes
      • First week timekeeping overview calls and emails; follow-up communication to contractors as needed

Process Documentation
  • Partner with Bids & Proposals/Implementation Manager to develop RFP resources library
    • Assist with obtaining necessary info from other departments as requested during RFPs
    • Attend implementation meetings to assist in documentation of next steps
    • Contribute to shared resource library of risk plans, implementation plans and additional documents for team

Requirements:
  • 2-3 years customer operations support experience (ideally in sales operations)
  • Rapport and relationship building skills both internally and externally
  • Strong time management skills and the ability to triage multiple requests
  • Excellent verbal and written skills
  • Flexibility to work in an evolving and growing business
  • Strong ability to advocate for the customer, process and front-line heroes
  • Strong interpersonal and communication skills
  • Ability to work autonomously
  • Problem solving, organizational and planning skills
  • Ability to proactively identify and mitigate risk
  • Proficient with MS Office including Excel formulas
