Position Summary

The Sales Coordinator provides assistance to the Sales team to facilitate and support the acquisition, maintenance and servicing of new and existing residential, commercial, industrial and recycling customers by managing and ensuring the accuracy of the Sales Transaction Reports; reviewing outstanding collection reports and related items; producing and verifying Contact Relationship Management (CRM) reports; and preparing various month-end closing reports.

Essential Responsibilities

  • Work closely with the Director of Sales and Marketing and Sales team to ensure the day-to-day administrative requirements of the Sales Department are met.
  • Act as the point person for all commercial bid opportunities and contract renewals including reviewing and summarizing bid/contract requirement for presentation to senior leadership team, collecting required paperwork, following up with various internal and external contacts, and ensuring complete and on-time submittal of required paperwork.
  • Maintain a working knowledge of the Companys Contact Relationship Management tool to be able to produce management reports, reconcile outstanding items on such reports, and/or enter client activity.
  • Provide administrative management for client events, tradeshows, charitable initiatives, golf events, Sabres games, Bills Games, Key Bank Center events and any/all other company sponsored functions.
  • Coordinate Sales programs and acts as a liaison between Sales and other departments.
  • Perform basic clerical and statistical reporting for Sales on a daily basis. Provides detailed reports to the sales force on ranking, and monitors rankings on a monthly basis.
  • Coordinate maintenance of weekly and monthly reporting, including recommendation of system changes.
  • Manage Contracts to ensure compliance, manage key dates and timeline for renewals and rate adjustments.
  • Manage the material reporting requirements for all municipalities.
  • Support sales team with project work and day to day reporting from sales tracking tools.
  • Manage data entry, and ensure accuracy of customer data and other records into company systems (Tower, Salesforce.com, etc)
  • Assist with development and execution of marketing materials including sales presentations, proposals, etc.
  • Review government, bidding, and auditing websites to ensure company compliance with all contractual items, and partner with other Modern departments to execute necessary actions.
  • As directed, performs a variety of research tasks, using internet sources and primary research methods; analyze data and prepare clear, concise reports on same
  • Track renewals and new opportunity due dates for key customer accounts including commercial, industrial, and municipalities and other major accounts or potential accounts.
  • Execute correspondence with customer contacts through email, business letter and phone.

Education and Experience
  • Associates or Bachelors Degree in Business or related field.
  • 2 years experience in a support/administrative role preferably on a sales team preferred
  • Excellent customer service and organizational skills
  • Highly detail oriented and process driven data entry and data manipulation will be central to the role
  • Fully proficient in Microsoft Office suite with emphasis on Excel
  • Excellent verbal and written communication skills
  • Ability to work autonomously balancing accuracy with timeliness
  • Ability to problem solve and multi-task and achieve
  • Notary license would also be a plus
