Safety Admin Asst. Job Description
Job Title: Safety Admin Assistant
Department: Safety
Reports To: Safety Director
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: (Other duties may be assigned.)
Maintains accident database.
Maintains OSHA 300 summaries.
Tracks injuries/illness rates, manhours.
Maintains inventory of WATCH Cards books.
Enters WATCH Cards in system on an as needed basis.
Gather incident information and communicate to Human Resources and Risk Management.
Completes customer questionnaire on monthly/quarterly basis.
Codes all department invoices as well as invoices not covered by Worker's Comp.
Inputs all employee safety information into computer system.
Compiles and maintains Safety records.
Examines employee files to respond to Safety inquiries and provides information to authorized persons.
Compiles data from safety records and prepares reports.
Oversee execution of SAP goals.
Update Safety policies on as needed basis.
Assemble and distribute quarterly Safety newsletter.
Sorts incoming mail for Safety Department.
Screens or accepts calls for Safety Manager when not available.
Assist in the planning and execution of annual Safety Focus forum.
Performs routine clerical duties, as needed, for Safety Manager and Safety Specialists.
Any other duties as assigned by the Safety Manager.
Assists with operations as needed.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) and one to four years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS
Valid driver's license or state issued identification.
Must be willing to be trained for any certification he/she does not possess or will need to be able to perform this job.
Must have valid TWIC card.
OTHER SKILLS AND ABILITIES
Intermediate skills in Microsoft Office, especially Excel
Must be able to successfully pass a drug screen and a job specific pre-placement functional examination.
Must be able to get to the job site on schedule.

The employee must occasionally lift and/or move up to 10 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
