DETAILED ACCOUNTABILITIES

  • Work with on account team to capture project goals, objectives, and the associated requirements following Company Policies and Procedures
  • Primary focus will be to understand the business process flow, involved applications and data flow for Purchase Order and Work Order related spend end to end process.
  • Gather requirements from external and internal stakeholder (vendors, service lines) to generate Purchase Orders.
  • Resolve Purchase Order discrepancies and disputes to ensure compliance with Policies and Procedures
  • Serve as a resource to Facility Management team helping with Purchase Order spend data gathering during budgeting season.
  • Serve as a liaison between Facility Management, Vendor, Procurement and Finance for all Purchase Order related needs
  • Generate and manage changes for annual Purchase Orders
  • Generate and manage changes for reactive Purchase Orders
  • Prepare monthly accruals for Work Order and Purchase Order related expenses.
  • Understand various roles and responsibilities in the workflow for better data governance and data security.
  • Work with various teams to generate one off point report for special request from business leaders.
  • Help drive process improvements and recommend best practices on the business platform.
  • Serve as point of contact for troubleshooting of Purchase Order related issues and coordinating with cross-functional teams
  • Analyze data through data mining and data auditing to provide actionable insights to business operations and contribute to setting data strategy.
  • Develop and track key metrics to identify opportunities for improvement
  • Maintain current documentation of process flow between applications to educate business
  • Additional related tasks that may be required as directed by manager

JOB REQUIREMENTS & QUALIFICATIONS

Education and Previous Experience:
  • Bachelor's Degree preferred
  • 3 years relevant experience in managing purchases
  • Preferred knowledge of Yardi (direct entry and ETL uploads), 360 Facilities or other Work Order system reporting
  • Or similar combination of education and experience

Targeted Competencies
  • Past work experience working with purchasing or invoicing at various levels
  • Proven experience with payable and work authorization flow
