Motiva's Public Affairs Team is currently seeking an experienced event professional to execute company events and increase employee engagement in support of Motiva's core values and capabilities. The successful candidate will have a proven track record of planning and executing corporate meetings and events ranging in size from 50-1500+ attendees.

To be successful in this role, you'll need exceptional project management and logistics skills with the ability to communicate effectively and partner with a cross-functional team that includes Digital and Creative Services, Communications, and Social Responsibility and Community Affairs.

This role includes, but is not limited to event operations, logistics, communications, budget management, post-event impact analysis and continuous improvement. We work in a fast-paced environment, and you'll need to be ready to manage multiple project deadlines and budgets with agility and excellence.

Core Responsibilities

  • Ability to manage and execute multiple projects concurrently
  • Maintains a disciplined and effective project management approach to corporate events
  • Ability to anticipate and manage all logistical details of events, including but not limited to: venue and site selection, floorplans, audio/visual support, marketing collateral and signage, photography, transportation, catering, lodging, etc.
  • Analyzes data and provides insights that drive continuous improvement of the organization's employee engagement strategy
  • Collaborates with Communications team members to develop messages and event marketing collateral that resonate with multiple stakeholder groups
  • Works effectively and comfortably with leaders and stakeholders within the Public Affairs function, across the organization, and outside of the organization
Basic Qualifications & Skills
  • Bachelor's degree in Communications, Public Relations, Business, Marketing Communications, or related field
  • 3-5 years of experience working in a fast-paced events environment with track record of creating and executing successful in-person events
  • combined corporate or agency experience creating and executing successful in-person events
  • Excellent verbal and written communication skills
  • High energy, collaborative personality and ability to thrive in a dynamic environment
  • Proficient in Microsoft Office programs (Excel, Word, Powerpoint), Sharepoint, Outlook, Microsoft Teams, etc.

Additional Information
  • This position will report to the Digital and Creative Services Manager
  • This position will be based in Houston, Texas, and is eligible for a flexible work schedule.
  • Local candidates preferred; relocation not offered for candidates outside of commuting distance.
  • Occasional availability outside standard working hours (early morning, evenings, weekends, etc.) required

Role Profile
  • Data and Event Management (50-75%)
    • Schedule and execute enterprise and location or team-specific events (Town Halls, LT Connect, Work Anniversary, LCA engagements, Breakfast with Santa, etc.)
    • Anticipate and manage all logistical details of events, including budget
    • Collaborate with Public Affairs team members (Communications, Digital and Creative Services, Social Responsibility and Community Affairs) on event marketing communications and execute campaigns
    • Coordinate annual President's Awards program; plan and execute awards banquet
  • Client Management (25-30%)
    • Maintain and build upon Public Affairs team site
    • Facilitate and provide support for Public Affairs' systems and processes
    • Coordinate photoshoots and videography
    • Assist with Digital Asset Management system and ensure guidelines are upheld by Public Affairs team
    • Contribute to continuous improvement for team processes
  • Planning and Reporting (10-20%)
    • Build and maintain annual employee engagement plan
    • Provide metrics for quarterly KPIs and enterprise campaigns
