The Project Assistant II handles a wide range of administrative tasks in support of senior managers and the overall needs of their assigned department. As a member of the Health & Safety group, the role may be tasked with providing administrative support to all employees within the Health & Safety department. Job responsibilities involve handling a wide range of administrative support tasks across a variety of disciplines and requires working independently, with minimal supervision. A Project Assistant II must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting a fast-paced office environment. The position requires that the individual maintain the utmost in confidentiality with regard to information obtained, learned, and utilized by them in the performance of their duties.

ACTIVITIES/TASKS/SCOPE

  • Be responsible for heavy calendar management, requiring interaction with both internal and external personnel;
  • Be responsible for coordinating invoice preparation with support from the Accounting Department;
  • Coordinates a variety of departmental meetings, business lunches/dinners, client meetings and seminars;
  • May communicate and handle incoming and outgoing electronic communications on behalf of the assigned manager;
  • Assists in the preparation of presentation materials using PowerPoint;
  • Manages expense report submission for department as needed;
  • Reviews and summarizes miscellaneous reports and documents;
  • Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner;
  • Arranges travel schedule and reservations for department personnel as needed;
  • May manage the personal files of managers, including incoming and outgoing correspondence;
  • Compiles, copies and distributes reports;
  • Performs secretarial duties for the assigned manager and his/her team;
  • May maintain certifications, licenses and memberships of the team/assigned managers;
  • Assists in maintaining office files and records;
  • May act as part of a phone relief rotation for the building receptionist and assist with other office support duties;
  • May assist with recruiting and retention efforts for the department in coordination with HR;
  • Prepares and send overnight deliveries for the department; and,
  • Performs such other duties as are assigned.
EDUCATION/EXPERIENCE
  • High School diploma or equivalent (required);
  • Associate degree (preferred);
  • Advanced proficiency computer and data management skills in a Windows-based platform with professional knowledge of Microsoft Office Suite (required); Sharepoint knowledge (preferred);
  • Knowledge of basic accounting practices (preferred).

  • Knowledge of basic accounting practices or ability to learn
  • Completion of all job specific OSHA training
  • Ability to comply with all job specific OSHA requirements
  • Able to establish and maintain effective working relationships within a matrix reporting structure
  • Able to maintain confidentiality and the highest degree of professionalism
  • Able to multi-task, prioritize and meet deadlines
  • Possesses excellent problem-solving and analytical skills with an attention to detail
  • Able to understand and follow written and verbal directions
  • Possesses excellent verbal and written communication skills in the English language
  • Current driver's license (required)
  • Able to obtain a US passport
  • Able to work overtime as required;
