The School of Nursing and Health Studies (SONHS) Office of Student Services (OSS) has an exciting opportunity for a full-time Program Coordinator to work in the Coral Gables Campus.

The Program Coordinator reports to the Executive Director of Student/Post-Graduate Support Services and serves as one of the main liaisons between OSS and other University constituents. Duties include triaging general issues, resolving complaints, maintaining the folder system, handling the administrative needs of the UGASAC and GASAC committees, managing various OSS and SONHS events, , serving as the primary contact for out-of-state NCLEX-RN applications and all degree verifications, and providing direct support to the Executive Director. The ideal applicant will possess excellent organizational, interpersonal, customer service, and written communication skills. It is also important the applicant be able to be self-directed as well as collaborative to work effectively as a member of the OSS team. At least three to four years of related work experience and a High School Diploma is required.

Duties and Responsibilities:

Supervision and Oversight


  • Seeks operational efficiency and administrative excellence by handling multiple projects simultaneously, coordinating various activities, engaging SONHS team members, and promoting exemplary customer service consistent with OSS' and SONHS' mission

  • Serves the entire OSS department but works as direct support to the Executive Director by assisting with various projects, screening phone calls and in-person visits, managing his/her calendar, troubleshooting issues that do not require his/her direct involvement, and referring problems to him/her as necessary


General Administrative Responsibilities

  • Stays abreast of SONHS and University opportunities, policies, and procedures, proactively seeks new information, and generates new solutions to unfamiliar situations to provide constituents with timely and accurate information

  • Serves as backup to monitor the SONHS@miami.edu account and responds to e-mails or forwards e-mails to OSS team members as needed


Event Management

  • Attends monthly Communication and Marketing Meetings, monitors the SONHS Events Calendar, and works with appropriate personnel to eliminate potential scheduling conflicts, ensure events are placed on the Dean's calendar, secure IT support, and finalize all necessary arrangements well in advance

  • Works directly with the Executive Director to facilitate the timely review and distribution of General Scholarship information

  • Works with the Executive Director to coordinate OSS events by making room reservations, submitting equipment requests, arranging catering, and ensuring everything runs smoothly


File Management

  • Manages the student records system to ensure OSS maintains complete and accurate student files

  • Responsible for all record keeping within the OSS. Scan, and upload all documentation from Nursing CA into the Navigate and OBase systems to maintain our paperless records

  • Receives all items from non-OSS personnel that need to be added to students' records, time and date stamps items upon receipt, and ensures items are scanned and properly attached to students' records


Committee Work

  • Develops UGASAC and GASAC agendas by gathering and synthesizing agenda items, and sends agendas to members for review the Friday before each meeting

  • Official Recorder of UGASAC and GASAC minutes, types them into the electronic documents, seeks approval from committee chairs, and distributes them to committee and OSS members

  • Provides Direct Support to UGASAC/GASAC committee Chairperson


NCLEX-RN and Degree Verifications Processing

  • Processes all out-of-state applications for the NCLEX-RN exam

  • Handles undergraduate and graduate degree verifications by working closely with the OSS team and the SONHS administration


Knowledge, Skills, and Abilities:

  • Knowledge of Microsoft Office, including Access, Excel, PowerPoint, Publisher, and Word

  • Knowledge of University, SONHS, and OSS systems, policies, and procedures

  • Basic knowledge of data collection, entry, and reporting

  • Excellent organizational, interpersonal, and customer service skills

  • Strong written communication skills

  • Ability to enter and verify information accurately and efficiently

  • Ability to understand and follow oral and written instructions

  • Ability to thrive in a fast-paced environment by using good multi-tasking and problem-solving skills

  • Ability to be self-directed as well as collaborative to work effectively as a member of a team


Education and Experience:

Education: High School Diploma required; Bachelor's degree preferred

Degree Preferred In: Business, Communication, Education, English, Health Science, Nursing, Public Health, Psychology, or a related field

Experience: Minimum 1 year of experience
