Behavioral Health Network is currently seeking a Program Assistant to join our Peer Support Services in Springfield, MA. As a Program Assistant you will:

  • Provide administrative assistance to program management and direct care staff (Recovery Coaches).
  • Assist management with organization, tracking referrals, and program productivity.
  • Assist as a liaison between program management, billing department, and Recovery Coaches
  • Responsible for data entry into Virtual Gateway EIM-ESM system and agency electronic health record.
  • Make telephone calls, as requested by program management.
  • Schedule meetings and sends meeting reminders as required.
  • Communicate in a professional manner with community partners and referral sources via email telephone as required.
  • Responsible for data entry and other related duties as requested by supervisor and program managers.
  • Assist with data reporting and distribution of reports to program management.
  • Attendance of team meetings and recording and distribution of meeting minutes.
  • Assist program management with job recruitment tasks which could include resume review and triage, contacting potential candidate with job specific information and questions to determine candidate's qualifications for the position, scheduling interviews and completing necessary paperwork for potential hiring of candidate.

What we are looking for in an Administrative Assistant:
  • Excellent interpersonal skills.
  • Excellent communication skills.
  • Virtual Gateway EIMS training or willingness to receive training as a pre-requisite.
  • Proficient use of Microsoft Office suite, including Excel, Word, Outlook.
  • Able to be trained and develop proficiency in other software applications.
  • Able to multitask and manage multiple agendas at one time.
  • Temperament is conducive to working in high demand and/or stressful environments.
  • Must have high school diploma or equivalent.
  • Prior office/administrative assistance of 2 years or more is strongly preferred.
  • Bilingual Spanish/English (preferred)
