Description
This position performs a variety of detailed, time-consuming technical support tasks to assist the public, Commission employees and management staff with detailed, technical and administrative operations; provides direct support for management; staffs the front desk and answers a 2-line phone to refer callers and visitors to the appropriate agency employee. Coordinates equipment maintenance, provides computer assistance, tracks file movement between offices and coordinates record storage. Maintains agency website and SharePoint site. Performs related work as assigned.

Examples of Work
Provides information, assistance, and services to internal and external customers. Enters, updates, and deletes current and archival data, records and documents within hard copy and electronic data bases. Checks documents, records and reports to confirm accuracy and completeness of data. Uploads case information to the SharePoint site for Commissioner review.

Prepares packets of information for the Commission meeting, organizes the meeting materials and location, notifies the public and otherwise assists with the Commission meeting. Processes forms and documents and responds to inquiries related to agency operations. Creates forms, documents and graphical material to assist in collecting or presenting information. Explains procedures and processes pertinent to program functions to agency employees and to the public. Maintains office equipment. Receives deliveries and prepares mail to go out.

Qualifications / Requirements
REQUIREMENTS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

PREFERRED: Experience in Microsoft Word, Excel, Outlook, and database management. One year experience in office management, secretarial/office support, customer service, administration or related area. Internal and external customer service desired. Must be flexible in adjusting to changing work needs.

Knowledge, Skills and Abilities
Must be highly organized, able to problem solve, be detail oriented and able to communicate in person and by telephone, computer, email or correspondence with agency employees, government officials and the public (who may be emotional.) Knowledge of the program-administrative work assigned to the position; general office practices and procedures; computer office applications, systems and programs; the principals and practices of record keeping, the functionality of the various Microsoft office applications, and the principals of good customer service.

Ability to maintain records and files; operate computers, multi-line telephones and other office equipment; interact appropriately with persons of diverse backgrounds. Ability to understand and apply instructions, policies and directives; implement decisions and take actions to achieve work objectives, performance goals and priorities. Skill in keyboarding and data entry.
