As a key member of the New England Operations team, this position will provide on-site operational support to ensure an outstanding work environment/ onsite work experience for our team members as well as clients and guests. He/she will be responsible coordinating day to day activities for the Providence office. This position will require on site office presence during standard business hours (8:30am to 5:30pm Monday through Friday) as well as the flexibility to travel to the Boston office if needed and to work outside of standard business hours during peak/busy seasons.

Essential Functions and Primary Duties
  • Greets internal and external clients and guests and provides outstanding customer service.
  • Responsible for answering the front desk phone, transferring calls where appropriate.
  • Act as the initial contact for office and facility related employee questions and requests. Provide guidance, resolve issues and escalate concerns to management when appropriate.
  • Coordinate logistics for CPE sessions and other local/national training activities. Facilitate seminars/sessions and engage with FS L&D team as needed
  • Acts as systems administrator for AgilQuest reservation software and train new users. Coordinate seating assignments and maintain site floor plans.
  • Function as the operational liaison with local building management, facilitate work orders and resolve facilities related issues or concerns.
  • Partner with Operations, Marketing, Human Resources, Finance and IT team members to create, edit and distribute employee communications, including weekly Operations emails, monthly newsletter and other materials
  • Responsible for managing inventory and ordering office and kitchen supplies.
  • Coordinate conference room set-up with IT team to ensure functionality, including arranging the physical space and ensuring all necessary equipment and supplies are available
  • Organize office luncheons; This includes facilitating orders, managing set up and ensuring the space remains polished and neat
  • Assist with preparation and execution of large scale annual company events including site/venue selection, agenda, slide deck and materials creation, pre and post event participant communication audio visual and catering coordination
  • Additional responsibilities as assigned
Preferred Qualifications
  • Prior experience in the public accounting industry or a professional services environment
  • Prior experience in other industries such as hospitality
  • Strong initiative and independent problem solving skills
  • Highly competent in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat DC
Qualifications Required
  • 2 or more years of office management or administrative experience in a fast paced, deadline driven professional office environment
  • High School diploma or GED required; Bachelor's degree preferred
  • Strong client service skills and the ability to follow through to task completion
  • Energetic, approachable and positive presence
  • Demonstrated ability to communicate effectively both verbally and in writing throughout all levels of an organization, internally and externally
  • Ability to prioritize and organize work, multi-task and complete assignments independently with accuracy and high quality
  • Ability to work in a team environment, as well as independently
