The IT Program Manager leads, oversees and ensures the successful management and delivery of single or multiple projects within scope, quality, time and cost constraints that may be clearly defined or may require dynamic change management. This position works with both Brother USA & Brother Japan to define and implement processes and procedures.

This position ensures both successful delivery of initial projects, and continuous improvement of these programs focused on auto replenishment and managed print services. This role oversees the development efforts across multiple platforms including web, SAP, Zuora, Sitecore, and SCMS. Additionally, this position ensures IT partners with Brother USA & Japan to add true value to Brother to deliver the overall business results required through these programs.

IT Program / Project Governance and Management 30%

  • Lead the development of the overall approach for the IT replenishment program and major time frames using both waterfall and agile methodologies
  • Define the program's major deliverables to address and meet the desired goals and outcomes that are aligned with business objectives
  • Partner with the executive sponsor to communicate program goals, objectives, and potential outcomes
  • Initiate regular communication with the executive sponsor to inform, alert, negotiate and maintain a continuing good relationship and shared vision for the program outcome
  • Establish and ensure appropriate governance functions for the program in accordance with enterprise policies, practices and on behalf of the executive sponsor or senior responsible owner
  • Review project proposals or plans to determine time frame, funding limitations, procedures for accomplishing projects, staffing requirements and allotment of available departmental resources to various project phases
  • Monitor project activities and ensure the currency, consistency, quality, and integrity of the information reflects the "look and feel" across the enterprise
  • Establish standards and procedures for project reporting and documentation
  • Provide regular (weekly) updates to BIL team on progress of all program initiatives and represent BIC in standard progress update calls

IT Program Delivery and Team Development 30%

  • Identify and schedule project deliverables, milestones, and required activities and tasks
  • Establish a work plan and staffing for project activities, iterations, or phases, and arrange for recruitment or assignment of project personnel
  • Guide, motivate, and coach project team members throughout the project life cycle and confer with project staff to outline work plan
  • Implement project communication plan
  • Conduct risk assessment and mitigation
  • Assign duties, responsibilities, and scope of authority to project personnel
  • Direct and coordinate activities of project personnel to ensure project progresses on schedule and within budget
  • Review status reports prepared by project personnel and modify schedules or plans as required
  • Continuously benchmark project management performance to identify improvements and achieve higher capability maturity in project and portfolio management
  • Ensure consistent and effective use of all project and program management tools by all project team members, including Jira, MS Project, Workfront and other tools as needed based on the individual projects

Architectural Design and Management 20%

  • Work closely with Brother Architects (Web, SAP, and/or others) to ensure solution design is consistent with Brother's overall architectural strategy and direction
  • Engage and involve Architects to ensure they are fully aware of the 20% proposed design and any changes which may occur during the execution of the project / program

Vendor Management 20%

  • Analyze project proposals to determine time frame, funding limitations and appropriate process for accomplishing projects
  • Review/approve work plan of external service provider or consultancy contracted to execute project
  • Maintain visibility and control over vendor work performed, ensuring forecasts are updated and accurate, and deliverables are produced on time and of appropriate quality
  • Communicate Change Requests to the vendors, and follow appropriate process for approvals within Brother when estimates are complete
  • Ensure vendor contracts include Service Level Agreements (SLAs) as appropriate, and that vendors are complying with those SLAs
  • Follow up / escalate as needed both with the vendor, and within Brother, when remedial action is necessary

Requirements:

  • Bachelor's Degree in Business Information Systems, Computer Science or related field
  • Minimum 7 years of experience:
  • Progressively responsible IT experience, with sensitivity and commitment to business problem solving
  • Successfully managing complex and risky projects
  • Experience working with executive sponsors, with sensitivity and commitment to business problem solving
  • Demonstrated experience in leading diverse teams

  • Advanced knowledge of project management methodology and experience or familiarity with major, defined program management approaches (PMI, or Agile)
  • Advanced knowledge of project planning/scheduling tools (for example, Microsoft Project, Workfront and Jira)
  • Knowledge of SAP, Zuora, Sitecore, and SCMS
  • PMP - Project Management Professional certification preferred
