Mail Center Receiving Clerk

Job Summary:

The Mail Center Receiving Clerk is responsible for receiving and delivering packages shipped to the college through the Mail Center in a high volume, high traffic environment. This position provides accurate distribution and shipment of more than 70,000 parcels annually. The Mail Center Receiving Clerk examines all shipments delivered to the Mail Center to determine quantities and conditions of items received and notes all damages and/or discrepancies. The Mail Center Receiving Clerk has the responsibility of receiving Hazardous Materials for the Science and Research Center.

Essential Duties and Responsibilities:

  • Utilizing the Smart Track Automated Receiving System to scan and record tracking numbers on all 70,000 annually in coming into the United States Postal Service accountable parcels and mail to include express mail, delivery confirmation, certified, insured, and registered mail. FedEx and DHL/Airborne shipments are included in the tracking
  • Assist with metering over 710,000 pieces of mail annually, assist with 740,000 pieces of incoming mail.
  • Assist with distribution of incoming mail 740,000 annually letters and flats
  • Receive, write up the incoming United States Postal standard mail (non-trackable) and parcels according to internal standing operation procedures
  • Inspect incoming parcels and initiate the claims process when in receipt of a parcel (s) in damaged condition
  • Deliver parcels and other shipments to various departments and locations on campus
  • Obtain signatures for accountable deliveries by utilizing hand-held scanners to capture signatures
  • Set priorities for items to be delivered
  • Download the delivery data from the hand-held scanners into the Smart Track Automated Receiving System at the close of business each day
  • Troubleshoot and resolve inquires where it pertains to incoming shipments mailed to Spelman College.
  • Utilize internal Mail Center application when forwarding mail and parcels to former Spelman College students and affiliates according to U.S. Postal guidelines
  • Suggest services to Mail Center patrons and assist in packing parcels to prevent damage in shipment.
  • Have a general knowledge of United Postal Service, United Parcel Service, FedEx, and DHL/Airborne procedures and guidelines

Required Qualifications:

  • A High School diploma and two years of related work experience and/or training are required. Experience with postal meters and other mail-related machines is preferred
  • This position requires strong customer service skills as well as good written and verbal communications skills. Professional demeanor with the ability to interface with internal and external customers with diplomacy and tact is essential
  • Good oral communication skills are required when interacting with internal and external customers. Also, must be able to read, analyze, and interpret documents such as safety rules and postal regulations
  • To perform this job successfully, an individual must have beginner skills using Microsoft Office Suite (Word and Excel)

Preferred Qualifications:

Have a general knowledge of United Postal Service, United Parcel Service, FedEx, and DHL/Airborne procedures and guidelines

Certifications, Licenses, Restrictions :

Valid Georgia Driver's License Required

Physical Demands:

While performing the duties of this job, the employee is regularly required to: stand, walk, reach with hands and arms, use hands to move postal items, talk, hear, and lift and/or move up to 40 pounds using appropriate equipment provided by the department. The employee is frequently required to: use hands for computers and stoop. The employee is occasionally required to: sit, kneel, and lift and/or move up to 100 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
