The University of Chicago community includes approximately 7,000 undergraduates and 10,500 graduate, professional, and other students and there are over 400 recognized student organizations working together to create a vibrant and dynamic student life.

Job Summary

The Human Resources and Office Coordinator will perform administrative tasks and services to support effective and efficient operations of Campus and Student Life human resources and central offices.

Responsibilities

  • Provides human resources administrative support, including posting jobs, selecting applicants to interview, scheduling interviews, conducting reference checks, and onboarding new staff.
  • Assists in HR projects such as the merit process, performance reviews; utilizes Workday to run reports and enter human resource transactions.
  • Provides high-level administrative support for senior administrators by scheduling meetings, appointments and coordinating logistics on calendars.
  • Ensures proper payment for independent contractors and other vendors as necessary.
  • Coordinates and participates in event planning activities such as staff awards or employee engagement events.
  • Staffs and provides logistical support for meetings and events (coordinate presentations and agenda items, distribute materials, take notes, follow up on action items, room reservations, vendor confirmation, catering orders, etc).
  • Staffs the front desk, greet all guests, and answer phone and in-person inquiries.
  • Serves in an office management capacity, ensuring office is well-maintained, including ordering of supplies, maintaining an environment that is organized and professional in appearance.
  • Develops and implement office procedures and policies.
  • Resolves office problems independently and facilitate solutions, conferring with supervisor to resolve the most complex issues.
  • Manages special projects as directed.
  • Provides administrative support for a leader. Stays informed of activities relating to programs and initiatives, apprising the leader of issues when deemed necessary. Coordinates information flow from leader's office.
  • Triages emails and telephone calls for action. Resolves mostly routine and some complex inquiries.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Education:
  • Bachelor's Degree.

Experience:

  • At least two years of progressively responsible administrative experience. Experience in higher education or complex setting.
  • Experience in human resources.

  • This position is currently expected to work Monday through Friday in the office.
