Duties and responsibilities

Responsibilities:

Daily or as needed:

Payroll duties in Kronos

  • All daily and needed tasks as assigned.
  • Production Data Entry & Employee Reimbursements
Upload scan and file all documents and log on the HR Tracker spreadsheet.
  • Maintain Recruiting spreadsheet (Excel) Update and call Applications, appointment date & times for Interview/Offer Letter, schedule physical/drug test, Prelim. Background Check and results.
  • Log terminations in HR Tracker as well as new hire data.
  • Administer Leave of Absence forms to employees in the event the HR Manager is unavailable. Administer FMLA tracking in Excel spreadsheet.
  • Assists with questions pertaining to insurance for new hires & existing and other related areas. Assist with password resets and creations.
  • When an hourly employee is retiring; make necessary plans for retirement cake and card with gift.
  • Order supplies as needed for events, office supply needs and events.
  • Complete Verification of Employment forms for banks and lending agencies. Ensures there is written authorization from employee. Wage info obtained from UltiPro.
  • Complete D.O.L. (Dept. of Labor) Unemployment Fact Finding statements for terminated employees (benefit determination) and layoffs.
  • Order flowers or wind chimes per our bereavement policy.
  • Reproduce copies of necessary forms as needed. Prepare physical forms, incident, new hire packets, LOA packets. FMLA etc.
  • Run errands as needed; meals for guests, supplies and other assigned duties.
  • Monitor & Process Employee Referral Rewards of $250 - payable to employee for referring a new employee who completed 1 year of service. Complete letter to employee to notify them. Monitor and process new hire bonus. Record
  • Post job openings on bulletin boards (Word) English and Spanish. Make copy of postings for the mill, log yard and maintenance.
  • Serve as backup for STD, FMLA payroll.
  • Distribute birthday cards to employees. "Employee Birthday Report" (UltiPro) and write up birthday cards and insert $10 gift card.
  • Type up Caring Committee Meeting notes.
  • Type up and track attendance warnings in HR Tracker.
  • Complete Monthly Newsletter.
  • Prepare new hire handbooks and other materials as needed.
  • Performs other related duties and assignments as required.
  • New Hires Benefits Enrollment - Assisting with new hires complete benefit elections.
Period:
  • Review names for Gainshare and other yearly or quarterly reviews.
Annual:
  • Service Awards for 5, 10, 15, 20, etc. years of service.
  • PTO Spreadsheets with balances for hourly
  • Assist with Picnic, Service Banquet, Pie Social, Christmas dinner, etc..
  • Go through applications and shred applications that are 4 years old. Must keep all applications received in the last three years.
  • Prepare Christmas and Thanksgiving cards and gift cards. Order gift cards quarterly
  • Distribute CFP calendars and other miscellaneous duties.
Recordkeeping Retention:

Proper handling and retention of all HR records.

Qualifications

The ideal candidate will possess knowledge of basic human resource guidelines, Kronos payroll systems a plus, excel/word efficiency, excellent written & verbal communication skills, ability to maintain confidentiality, and flexible with their hours.

Working conditions

Working conditions will primarily be in an indoor office setting with occasional travel on the production floor.

Physical requirements

Ability to sit for long periods to enter data or navigate production floor safely, using catwalks, is required. Occasionally lifting of up to 25lbs may be necessary when moving documents.
