We are seeking candidates for a Group Coordinator to support our Uniworld Boutique River Cruise Collection and U River Cruises brands. As a member of the Groups team, you will be responsible for pursuing and documenting all leads received through a variety of channels. Additionally, you will be responsible for cultivating relationships with customers leading to increased brand sales.

THE ROLE:

As a member of the Groups team, you will be responsible for processing all group requests, reservations, issuing group proposals to customers requesting group blocks and finalizing groups. In all cases, superior customer service to customers and maintain knowledge of product, company policies and procedures.

KEY RESPONSIBILITIES:

  • Responsible for processing all incoming group proposal requests received via lead agent or through the 1-800 group line.
  • Responsible for quoting all group terms, conditions and procedures to agents and direct customers.
  • Provide each guest with accurate information and excellent customer service.
  • Must adhere to Quality Assurance Guidelines on all sales and support calls and maintain an average score of 85% or above on monthly QA evaluations.
  • Responsible for organizing, maintaining current and easy-to-read files for assigned group.
  • Responsible for issuing and maintaining updated invoices for individual group passengers and group proposals.
  • Ensures the finalization process is completed in a timely and efficient manner, including sending final invoice for the group, assigning earned tour escorts, collecting final payments, and finalizing special requirements.
  • Maintain regular and efficient communications with assigned account contacts regarding service requests.
  • Other duties as assigned.
PREFERRED QUALIFICATIONS / EXPERIENCE / SKILLS
  • A High School Diploma or GED equivalent.
  • One or more years of high-quality customer service in travel.
  • Microsoft Office knowledge including Word, Excel and Outlook.
  • The ability to manage large volumes of changing and detailed information.
  • Strong ability to multi-task and prioritize in a fast-paced environment.
  • Availability to work overtime as required.
