Job Summary
This position is responsible for participating in the financial accounting, budgeting, and reporting functions related to grants and contracts administered by the IGB and supporting the Director for Budget and Resource Planning, Sponsored Research Administration

Duties & Responsibilities

  • Review and approve the use of grant funds to assure they are allowable, allocable, appropriate and reasonable for the following items: employee appointment requests for individuals, iBuy, P-Card, Chrome River and TEM transactions.
  • Prepare, review and reconcile monthly grant accounting reports for researchers and management. Ensure the accuracy of various types of expenditures and procurement procedures for all grant funding using professional accountancy knowledge.
  • Monitor the administration of sub-award agreements and payment processing on research projects. Process departmental invoices for subcontract payments related to grant funds and coordinate these efforts with faculty, grants team member, and SPA. Maintain subcontract payment and financial statement records/listings. Ensure the timely processing and payment of sub-award invoices throughout the project period.
  • Contact Principal Investigators each semester for required appointment requests and work with IGB HR to coordinate appointment requests.
  • Work with SPA, Pre-Award to assist in grant/contract negotiations.
  • Review progress reports and monitor faculty effort to ensure compliance with policies and make recommendations.
  • Preparation and completion of semi-annual certification report from SPA, Post-Award, and prepares detailed expenditure reports for faculty review. Ensure cost share commitments for accuracy and coordinate changes as appropriate.
  • Consult with SPA, Post-Award Administration staff for the required documentation, reporting, and closeout activities.
  • Monitors grant budgets by originating and/or verifying adjustments and transfers. Identify and/or resolve rogue grant accounts and erroneous charges and complete journal vouchers in BANNER to correct them. Verify the accuracy of obligations for each grant fund.
  • Serve as a liaison between Principal Investigators, UIUC SPA, Pre-Award and SPA, Post-Award, external funding agencies, and subcontracting institutions.
  • Research and analyze information and data. Take independent action and exercise individual authority based upon the level of knowledge and professional experience. Provide interpretation of sponsor/agency, university, and institute policies and procedures. Prepare special management reports as needed. Prepare monthly projections and spend plans for research accounts and share with research coordinators and PIs.
  • Participate in continuing professional development activities (e.g., conferences, seminars, training) to improve knowledge of technical and ethical aspects of accounting and business practices. Assist with the development, documentation, and implementation of new and/or revised procedures.
  • Preferred Qualifications
    Exposure to University of Illinois or fund accounting principles.
    UIUC Certified Research Administrator Certificate.

    Specialty Factors
    Bachelor's degree in business administration, accounting, finance, economics or a field related to the position. Demonstrated experience in pre and/or post-award sponsored research administration. Experience in BANNER financial system.

    Knowledge, Skills and Abilities
  • Effective communication, organizational, analytical, and problem-solving skills. The ability to be self-motivated, work independently, exercise good judgment, and prioritize is essential, as is a good knowledge of PC-based tools, including Word and Excel.
  • Appointment Information
    This is a 100% full-time Civil Service 5040 - Grants and Contracts Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after close of the search. Salary is commensurate with experience.
