Within the Stead Family Department of Pediatrics, the position will provide direction and oversight for assigned Department of Pediatrics Fellowship Programs (currently eleven accredited programs and one unaccredited program) under the general direction of Departmental Administration and the Pediatric Fellowship Director. The position will assist in the design, planning, integration and evaluation of fellowship curriculum; manage application enrollment process; ensure compliance with Accreditation Council for Graduate Medical Education (ACGME) standards and graduate medical education (GME) office; and manage teaching resources.

Duties to include:

Recruit, Admit and Retain Prospective and Current Trainees for Programs, Major Departments or Colleges:

  • Compile and maintain applicant data for annual reporting on departmental and institutional T32 grants.
  • Monitor national subspecialty match system and prepare reports for Pediatric Fellowship Director pertaining to success and suggested methods for improvement.
  • Serve as primary contact for Pediatric Fellowship Programs and provide information, as requested.
  • Plan and organize events for Pediatric fellowship Program (graduation, retreat, etc.).
  • Process pre-employment paperwork including contract information, visa applications/extensions and medical licensure.
Enrollment Management:
  • Correspond with newly matched fellows about requirements for appointment to UIHC.
  • Plan, schedule and facilitate orientation for incoming fellows. Compile required documentation for orientation packet, including documentation guidelines and electronic medical record training at UIHC. Escort fellows, as needed, around campus to complete orientation training.
  • Request Dragon accounts for incoming fellows and compile necessary training materials.
  • Oversee and monitor fellow mandatory hospital compliances and trainings, including education, employee health, license and certification. Monitor fellow compliance with UIHC policies.
Academic Standards and Curricular Policies:
  • Gather ACGME subspecialty milestones material and provide oversight in the development of subspecialty evaluations.
  • Interpret and apply ACGME, other national accrediting agencies, and hospital policies to support compliance.
  • Communicate inter and intra departmental policy and procedural changes to Fellowship Program Directors and Pediatric fellows.
Academic Program Management (Planning, Designing, Integrating, and Evaluation Curriculum):
  • Organize and coordinate Departmental Fellow Core Curriculum for Pediatric Fellowship Programs, including weekly conference series.
  • Assist Pediatric Fellowship Program Directors in the completion of petitions for new graduate medical education programs or modifications of an existing program. Gather and compile data and prepare reports, as required.
  • Monitor duty hours for Pediatric fellows.
  • Monitor ACGME data submission (e.g. faculty survey, trainee survey, milestones).
  • Serve as liaison for site visits with ACGME and GME (internal).
  • Ensure required committees are established, forms are completed and appropriate topics addressed in committee meetings. Committees include the Scholarly Oversight and Clinical Competency Committees for each fellow, the Program Evaluation Committee for each Pediatric Fellowship Program, and the Fellowship Education Committee. Coordinate committee meetings, develop agenda and take minutes.
  • Coordinate periodic meetings for Pediatrics Fellowship Program Directors.
  • Monitor, prepare and/or submit website updates for Pediatric Fellowship Programs.
Budget Oversight and Management:
  • Monitor Pediatric Fellowship Program expenditures, including travel, books, food and Departmental Fellow Core Curriculum series.
  • Approve and reconcile divisional expenditures utilizing appropriate processes and thorough financial judgment.
  • Serve as liaison to Pediatrics Finance; verify funding sources and answer questions.
  • Monitor and maintain payroll activities and processes.
Departmental Education
  • Coordinate all aspects of Pediatric Grand Rounds conference. Duties include room reservation, food ordering, speaker scheduling, attendance, etc.
  • Responsible for ensuring appropriate CME related credits are submitted for respective conference events
  • Collaborate with Residency Education and Medical Student Education Programs within the Department.
  • Other duties as assigned by Department Administration, Fellowship Director, or Vice Chair for Education.

Required Qualifications
  • Bachelor's degree in healthcare or business administration, finance, accounting or a similar discipline; or an equivalent combination of education and experience.
  • 1-3 years of related healthcare, business or education program/project management experience.
  • Demonstrated excellence with written and verbal communication and interpersonal skills.
  • Demonstrated proficiency in computer software applications (MS Word, Excel, PowerPoint, and Outlook).
Highly Desired Qualifications
  • 6 months to 1 year experience coordinating or managing a graduate medical education (residency or fellowship) program.
  • 1 to 3 years of experience coordinating or managing a program.
  • Knowledge of ACGME requirements and standards.
Desired Qualifications
  • Experience reviewing and managing financials and expense budgets.
  • Experience with graduate medical education.
  • Experience with Epic and Epic reporting.
