Job Description

Facilities Manager

Role Description
As the Facilities Manager you will work across a broad range of activities including but not limited to manage office administration, coordinate office moves, assign and manage employee seating assignments, work with various company vendors, manage airplane travel, coordinate furniture needs, implement purchase orders and various other office administration duties. You will have the ability to manage and proactively build relationships across Invenergy senior leadership and directly manage a staff of up to 8 and indirectly lead all employees in administration and coordinator roles across the company.

Essential Functions

  • Manage 100,000 sq. ft. of office space including but not limited to:
    • Office supply content
    • Office machine procurement and maintenance
    • Seating assignments
    • Office cleanliness and policies
    • Fix, maintain and order new furniture.
    • Coordinate office moves.
  • Lead office administrative staff to ensure coordination, cohesion, and cooperation in Chicago and across Invenergy's offices around the world.
  • Manage private airplane travel, as needed.
  • Ability to utilize and leverage technology in order to perform responsibilities, including a commitment to maintaining electronic records and other digital mediums (SharePoint, Excel, Archibus etc.).
  • Maintain awareness and make use of continuous quality improvement initiatives.
  • Provide oversight with the creation of the Monthly Badge Report
  • Provide oversight with the New Hire Onboarding & Offboarding facility tasks.
  • Aid with budget creation, planning, and general fiscal oversight.
  • Provide coaching and training to facility coordinators.
  • Contract management of all facilities related vendors
  • Management of preventative maintenance on all MEP equipment.
  • Management of vendor relationships.
  • Procurement/sourcing of new and existing vendors
  • Management of vendor database for all Regional Offices
  • Space planning/space utilization reports/badging etc. (Archibus)
  • Aid in the planning of all new regional office moves and buildouts activities.
  • All other tasks designated by the Director of Global Real Estate & Facilities.

Qualifications
  • Ability to mentor, manage and lead staff and delegate responsibility effectively.
  • Possesses excellent time management and problem-solving skills with significant experience proactively and effectively managing multiple projects simultaneously.
  • Has a strong sense of urgency and attention to detail.
  • Ability to work independently and as an extension of the office team.
  • Able to influence others and communicate tactfully to accomplish complex assignments requiring cross-organization cooperation.
  • Has a proven track record of being calm and focused under pressure, resolving, and diffusing sensitive situations, maintaining professional interactions with associates at all levels and establishing rapport quickly.

Required Education and Experience:
  • Bachelor's Degree required.
  • 3-5 years of relevant full-time experience managing a multi-floor office for a multi-national company.
  • Prior experience managing and leading staff.
  • Discretion when working with sensitive company and personal information.
  • High-level of personal integrity and professionalism.
  • Maintain a high-level of confidentiality at all times.
  • Self-directed, reliable, and independent when necessary to complete projects with limited supervision.
  • Demonstrate ability to prioritize time sensitive and competing issues.
  • Willingness to be available during atypical hours if a high-priority event arises.
  • Proficiency in Microsoft Office applications and operation of office equipment
  • Professional, positive, and resilient.
