Our client, a prominent Global Investment firm, is seeking to hire a Temporary Executive Assistant to the CEO and Executive Team, to start on October 3rd and extend for one month. The firm is currently operating in a hybrid model of 3 days onsite/2 days remote. Hours are 8:30am - 5:30pm, Monday- Friday, with flexibility for OT as it arises. Pay rate is up to $39.00/hr, DOE.

Responsibilities:

  • Calendar scheduling /Daily co-ordination - with an emphasis on the senior team members, meetings are global.
  • Coordinate with other assistants across the business when scheduling meetings to ensure travel itineraries/meeting schedules are closely coordinated
  • Schedule all internal and external meetings, and coordinate all required logistics (calendar invites with relevant information, including catering if needed)
  • Assist with co-ordination of appropriate meeting materials / technology needs, gather information from other teams in advance - suggested agendas, meeting notes
  • Responsible for set-up of video conferences and webinars and interaction with marketing on events for seamless delivery
  • Conference room scheduling, including managing hybrid meeting logistics, where some participants are in the office, and others are remote.
  • Learn the team members workstyles and gatekeep time effectively to simplify demands.
  • Travel plans (per policy and company vendors), entering the details into Outlook, timely management of visas, other paperwork.
  • Prepare detailed itineraries including key information such as addresses, terminal number, telephone numbers, emergency numbers, maps and driving instructions. E-tickets will be included with the itineraries
  • Responsible for monitoring expenses and preparation of expenses in a timely manner to ensure the prompt reimbursement of expenses
  • Input and monitor invoice payments in Basware; follow up with approvers, vendors, and other internal parties as necessary to ensure timely payment of bills
  • Responsible for the organization and filing of documents
  • Submit compliance data as needed
  • Execute on any ad hoc projects

Qualifications:

  • Excellent Microsoft Office skills.
  • Excellent communication skills.
  • Professional & proactive, highly self-motivated
  • Strong interpersonal skills, as some client interaction is expected
  • Ability to use initiative, prioritize and work to tight deadlines whilst managing competing demands and workloads and be able to assimilate information/instructions quickly.
  • Flexibility to take on a variety of tasks and work autonomously.
  • Strong work ethic, someone who wants to be part of a growing, passionate team, show commitment and "go the extra mile".
  • Strong and determined personality

Compensation:

  • Up to $39/hr, depending on experience
