Our client, a Boston-based university, is seeking an Executive Assistant to support the CIO in the Office of Diversity, Equity, and Inclusion (ODEI). The Executive Assistant provides a comprehensive range of support services to ensure the overall efficiency of the ODEI in a high level and fast-paced environment. The position requires excellent skills in organization, communication, multi-tasking and timely completion of work products. This position is currently working onsite 3 days a week/ remote 2 days a week. This position compensates up to 36/hr depending on experience. This role does have permanent potential, and can annualize into the high 70s-low 80s.

Key Responsibilities

  • Provide office management and administrative support, as well as maintaining organized filing and database systems.
  • Manage CIO's calendar and coordinates high level meetings.
  • Manage high volume of demands for the CIO's time by resolving potential conflicts.
  • Prepare agendas and meeting notes in a timely manner to ensure CIO is well-prepared for all meetings, events, and speaking engagements.
  • Monitor and advance progress on key initiatives managed by the CIO and their teams.
  • Communicate with internal constituencies on behalf of the CIO.
  • Create accurate and professional PowerPoint presentations and Word and Excel documents for the CIO
  • Anticipate upcoming events and required preparation.
  • Make CIO's travel arrangements, prepare itinerary and event information.
  • Process and track travel reimbursements; reconcile travel and office expenditures.
  • Prepare financial transactions for the CIO's approval (reimbursements, purchase cards, journal vouchers) to ensure that they have been properly completed and are in compliance with university policies.

Qualifications

  • Bachelor's degree required; masters preferred.
  • Minimum of 5 years of senior administrative experience required, preferably in higher education or executive setting.
  • Experience managing staff and a self-motivated worker who can anticipate problems and demonstrate significant independent judgment.
  • Detail oriented; high-level attention to accuracy and completeness required.
  • Excellent verbal and written communication skills along with excellent people skills and the ability to deal with sensitive situations as they arise.

Demonstrate advanced computer skills including Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint, Teams), Google Docs, and virtual platforms (Zoom, etc.).
