JOB PURPOSE:

Provide general administrative support to the Irrigation product division. This position will lead a variety of internal and external duties essential to the effectiveness of the division, as well as have responsibility for important interactions with multiple stakeholders. Responsibilities include: coordination of web-based and/or in-person meetings and customer events; written and verbal communication with Distributors and end-user customers; maintenance of divisional programs, web tools, data bases, spreadsheets and documents; leading the front and back end travel and schedules for division members. This position will be exposed to and involved in multiple facets of the marketing mix, and have frequent interaction with the broader sales and marketing functions of the division and other functions as required.

DUTIES & RESPONSIBILITIES:

  • Lead the preparation, approval and dissemination of division and distributor communications, utilizing multiple channels and ensuring accuracy of distribution lists/access. Examples include: the U.S. and Canadian Commercial Programs Manuals, Distributor Operations Bulletins (DOBs), Market Summary Reports (MSRs) and organization announcements.
  • Collaborate with appropriate parties to develop content, ensure accuracy and contribute creative formatting for regular business presentations. Examples include: Strategic and annual plans, monthly Critical Success Factor (CSF) slides, distributor leadership summits, golf and grounds tradeshow business meetings.
  • Coordinate meetings and schedules establishing time, place, attendees, agenda, presentations, and transmission of meetings - recording as needed. Examples include: Division All Staff meetings, Distributor Advisory Boards (DABs), leadership meetings, monthly sales web conferences, 1:1 meetings for direct reports of the GM and directors.
  • Distributor Portal Administration, where applicable. Facilitate the accuracy and efficient utilization of TTC's internet portal(s).
  • Provide assistance and support to the division to prepare and execute events. Be the lead point of contact, facilitator, and auditor of Toro activities and events held at Key Toro account locations. Examples include:Distributor Advisory Boards and leadership conferences, national account retreats, and regional education events.
  • Coordinate travel arrangements, as well as the back end execution of applicable expense reports.
  • Other responsibilities as needed. Special projects as apparent or assigned, generate reports or other correspondence, sort and distribute department mail, order office supplies, prepare files, answer incoming calls.

JOB DIMENSIONS:
  • Acts as the key coordinator and information liaison within the division.
  • Has direct contact with Distributor partners and end user customers.
  • Assists with planning, implementing, and completing projects and activities that enhance and support the division's strategies and tactics.

SPECIFICATIONS:
  • Associates or B.A. degree preferred
  • A minimum of two (2) years business experience required.
  • Strong written and verbal communication skills; e.g., ability to develop clear, concise business correspondence and relay accurate information to management.
  • Excellence in MS Office (Word, Excel, PowerPoint, and Access). Demonstrated competency in presentation creation, database management, information storage and retrieval.
