The University of Iowa Hospitals and Clinics department of Psychiatry is seeking an Academic Clinical Program Mgt & Services Associate to provide support, guidance and day-to-day management for the child and adolescent psychiatry residency and fellowship training programs. Responsibilities include administrative support to the Director of the residency training program, coordination of training activities for faculty, residents and fellows, and tracking of institutional and regulatory requirements. This position must maintain and account for the accreditation standards of the Accreditation Council for Graduate Medical Education in relation to the Psychiatry residency program and subspecialty fellowship programs. This position also provides administrative support to the clinical staff in the child and adolescent division.
The coordinator must demonstrate initiative, resourcefulness, and problem-solving skills in applying detailed knowledge of the responsibilities, functions and underlying management structure of the Department and of the larger institution in organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely workflow. Participates in budget review and financial processes. Acts for and makes decisions in the Program Director's absence within prescribed limits of authority.
Job Duties to include:

  • Coordinates activities related to recruitment of new residents and fellows
  • Schedules interviews with identified candidates
  • Organizes interview days for prospective residents
  • Distributes orientation schedule for new residents
  • Serves as liaison to residency participants prior to beginning their assignment at UIHC Training Program
  • Coordinates the training functions of the residency program including the timely dissemination of information and documentation, such as updated rotation schedules, and maintains these schedules so that they are up to date.
  • Processes resident leave requests in coordination with the chief resident
  • Maintains and tracks resident didactic attendance logs in coordination with the training directors
  • Monitors rotation and didactic goals and objectives to make certain that they are up to date and distributed to all residents via med hub prior to each rotation assignment on at least a quarterly basis.
  • Attends all residency training program meetings, develops agendas in coordination with training directors, and takes minutes. These meetings include the monthly Resident Director Meeting (RDM), quarterly Resident Education (REC)/ Program Evaluation Committee (PEC); Biannual Clinical Competency Committee (CCC), and the weekly Chief-Directors Meeting.
  • Schedules resident and fellow rotations
  • Schedules resident and faculty Medhub resident, attending, rotation and training program evaluations
  • Schedules biannual Resident Evaluation meetings with training directors.
  • Arranges extracurricular activities such as professional educational and/or training events that will advance residents in the training program.
  • Counsels current and incoming residents on such issues as scheduling, specific rotation requirements, annual and sick leave, benefits, policy and procedures, survival skills, etc.
  • Documents ongoing resident training and completion of training, making certain training files contain mid-year, end of year, and end of training letters.
  • Maintains confidential files for residents and fellows
  • Responds to all inquiries regarding the Child Psychiatry residency program and coordinates response with training directors
  • Submits all materials for "match' list to NRMP national office
  • Completes needed online materials to schedule our program as an ERAS participant for the NRMP "Match" as we have not yet registered for ERAS.
  • Monitor and respond to all ACGME (including RRC) related requests, Be familiar with the ACGME Milestones Project and work closely with training directors to implement.
  • Keeps up to date regarding all ACGME deadlines, including resident and program surveys, web ADS updates, etc., and completes coordinator specific portions of documentation in coordination with training directors.
  • Works with residents and training directors to submit needed documentation to the ABPN for Board Certification requirements
  • Completes necessary paperwork for the GME Office (contract and licensure information)
  • Schedules resident orientations and provides information needed to begin residency program
  • Maintains Child Psychiatry Residency Library and keeps it up to date.
  • Provides general support to the Training and Associate Training Directors regarding program related duties.
  • Record resident vacation, CME, and other absence requests and ensure requests are communicated to designated supervisors and recorded in MedHub.
  • Attends the annual AADPRT Residency Program Coordinator meeting
  • Oversee process for arranging travel and conference arrangements for faculty and staff.
  • Assist division with routine administrative tasks such as meeting coordination, expense reimbursement, conference call setup, etc.
  • Initiates purchasing requests for supplies and equipment through ebuy and other university recommended resources and vendors.
  • Ability to step into a leadership role to carry out administration tasks independently, effectively, and efficiently in support of individuals, teams, and/or units.
  • Adjusts to and develops self to prepare for new or changing assignments, processes, people, and priorities as organizational needs dictate.

Required Qualifications:
  • A Bachelor's degree in an appropriate discipline or an equivalent combination of education and experience is required.
  • Minimum of 1 year healthcare, business or education program experience is required
  • administrative or program experience is required.
  • Excellent written and verbal communication skills are required.
  • Proficient in computer software applications.
  • Strong administrative and team building skills are required.
Highly Desirables:
  • Previous experience working in an academic healthcare center, hospital or other medical setting is desired.
  • Experience working with residency or fellowship training programs is desired.
  • Knowledge of UI policies and procedures is desired.
