Summary Statement

Provides general administrative support, including customer service, education, and information to the public regarding Boise City parks, recreation programs, services, and sports leagues. Assists with the front desk, cemetery, reservations, and administrative duties using appropriate software management systems. Instructs and or substitutes for various senior programs, including exercise classes and day trips. Supports instructors by printing class rosters; assists with room set up and cleans up. Leads day trip programs and provides input on future program scheduling. Work is performed under direct supervision.
Successful candidates will:

  • Answers telephone, check messages and return phone calls.
  • Greets customers as they enter the building with excellent customer service.
  • Performs cash handling duties.
  • Instructs and or substitutes for various senior programs including exercise classes and day trips .
  • Helps to ensure the overall appearance of the facility is in proper order at all times.
  • Explains different activities options, rules, and benefits for each activity.
  • Is familiar with and enforces facility's rules.
  • Completes administrative duties as assigned.
  • Familiarizes self with facility programs and assists instructors as needed.
  • Assists in other recreation centers, athletics, tennis center, and other services with desk coverage, programs, and special events.
  • Maintains regular and punctual on-site attendance.

Essential Functions

Instructs, coaches and leads customers on specific physical fitness disciplines including weight training, Pilates, yoga, or other programs. Communicates and prepares class rosters, concerns, or other issues involving classes. Attends training sessions as required and ensures the well-being of participants taking classes. Explains how to safely use equipment and use proper form and breathing during exercise. (35%)

Assists customers with information on programs and services, facilities reservations, calculations and collects payments, issues parking passes, and operates and maintains office equipment. Provides cemetery administration support by responding to inquiries regarding pricing, locations of burials, and cemetery lot sales. Provides backup for Dig Line (GIS) mapping and notifications. Assists by reviewing and proofing meeting minutes, narratives and other documentation provided to the public, the BPR Commissioners and Boise Open Space and Clean Water Advisory Committee. Reviews and updates department organizational charts and assists with cell phone stipends. Assists with inquiries by providing direct responses or directing inquiries to the appropriate unit or person, to ensure appropriate action is taken at the department or unit level. (30%)

Responds to employee and citizen questions and grievances by collecting background information, researching issues, policy and practices, discussing with the appropriate department staff and replying to the complainant by phone or in writing. Assists with reserving facilities for private events at park facilities and the Boise Depot. Accepts reservation requests and creates contracts between the customer and the City of Boise using a software management system. Assists customers with information about various facilities regarding capacity and available amenities. Follows up and assists with application requirements, permits, required insurance, invoices, payments, delinquent payments and missing paperwork. Assists with reviewing and updating park facility policies and procedures. (15%)

Leads programs throughout the community designed for senior citizens. Assists with the creation, implementation, planning, and evaluation of Lifetime & Leisure programming. Responsible for transporting (15 passenger vehicle or smaller), interacting, and ensuring the safety of the participants, staff and volunteers. Assesses abilities of participants and adapts programs or activities when needed to make them accessible. (10%)

Calculates and collects payments through various software management systems for park reservations, cemetery lots, tree memorials, donations, publications, construction use permits, property rental payments, permits and gift certificates. Performs various administrative support duties such as generating reports for review, daily cash handling/reconciliation, and supporting other personnel as requested. (10%)

Requirements

Required Knowledge, Experience, And Training
  • High school diploma or GED Two years experience performing administrative or clerical support duties in a departmental or operational group
  • Two years of experience in the fitness discipline
  • Working knowledge of various physical fitness disciplines
  • Effective communication skills
Knowledge:
Working knowledge of basic accounting including cash handling and monetary reconciliations; general business office and telephone etiquette, equipment and procedures; business English (grammar, punctuation and spelling); computer operations including contemporary and related software applications; record keeping and filing practices; general customer service techniques.

Abilities:
Ability to operate a computer with demonstrated proficiency using contemporary and related database, word processing, and spreadsheet software applications at an appropriate level for efficient job performance; demonstrate compassion and effectively interface with grieving families and individuals; maintain and create website pages; operate standard office equipment; communicate with and effectively manage difficult customers; apply basic math, as well as spelling and grammar skills; read and understand written documents and instructions; receive, comprehend and follow verbal instructions; display an attitude of cooperation and work harmoniously with all levels of City employees, the general public and other organizations; communicate effectively in the English language at a level necessary for efficient job performance; complete assignments in a timely fashion; understand and comply with all rules, policies and regulations; maintain prompt and regular attendance; and perform all essential and marginal functions as assigned by an authorized employee, supervisor and/or manager with or without a reasonable accommodation.

Preferred Knowledge, Experience, And Training:
  • Three years of progressively responsible experience providing administrative support or customer service, including cash handling and accounting responsibilities
  • Working knowledge of various software management systems including, but not limited to recreation software, cemetery software (CIMS), parks software systems (VueWorks), OnBase, GIS, and/or Microsoft Office is preferred
Licensing And Other Requirements:
  • Valid driver's license.
Special Requirements
Applicants must be able to pass:
  • City of Boise background check processes which includes a criminal history check and reference checks in accordance with the City of Boise Hiring Process Regulation

Physical Efforts
While performing the duties of this job the employee is rarely lifting/carrying up to 10 pounds. Also, the employee is occasionally pushing/pulling up to 10 pounds. The noise level is occasionally moderate. Work includes sensory ability to talk, hear and touch. Work in this position also includes close vision, distance vision and peripheral vision. Employees will sit, stand, reach and grasp. Position requires hand/finger dexterity.
