Responsibilities
  • Responsible for assisting in the management of the Contract Administration program within Procurement Services.
  • Serves the Contract Administration program while maintaining integrity and accuracy of contract records, files and ensuring contract compliance relevant to University, State and Federal regulations.
  • Proactively coordinates and executes contract sourcing opportunities utilizing a high degree of initiative and independent judgement.
  • Reviews a wide range of procurement requests including long term and unique strategically sourced contracts while ensuring money is spent wisely.
  • Assists in initial review of contracts, amendments, addendums of university contracts.
  • Assists with contract initial reviews with FSU Procurement Services and university staff or faculty to ensure the correct contract template and/or best method to the complete the contract.
  • Triages and escalates contract issues to Contract Administration Program Director and/or Manager as needed.
  • Oversees the contract database and associated files, using the database to assist users tracking contract life cycle milestones (i.e., renewals, amendments, expirations, and early termination) and deliverables.
  • Maintains the contract compliance module within Jaggaer (known as SpearMart), which includes uploading contracts, setting up parameters, tracking of contract deliverables, overseeing the contract database and associated files for documentation and archiving contract documents.
  • Ensures all documents are retained, archived, and destroyed in compliance with FSU policy and State statutes.
  • Processes low dollar requisition requests to purchase orders.
  • Tracks forecasted vs actual savings for particular commodities and/or contracts and be responsible for communicating performance against these measures and their potential budgetary impact.
  • Develops and execute strategies that are aimed at capturing value and driving savings.
  • Ensures compliance by contract monitoring.
  • Leads quarterly business reviews and training with University and other key stakeholders.
  • Manages contracts to ensure compliance and analyze change requests to existing contracts.
  • Develops and maintains constructive and cooperative working relationships with colleagues, management, and stakeholders.
  • Acts in a consultative role with departments by determining how Procurement Services can assist in achieving department/customer goals by understanding their unique procurement/contract needs.
Qualifications

A Bachelor's degree and one year of experience; or a high school diploma or equivalent and five years of experience. (Note: a combination of post high school education and experience equal to five years.)
