Hours: Monday-Friday 9:30-6:00PM- Additional hours as needed.

JOB SUMMARY

The Conferenceand Events Coordinator will report to the Director of Operations under thedirection of the firm's Senior Conference and Events Manager and is primarily responsiblefor coordinating and executing on-site firm events.

ESSENTIAL FUNCTIONS

  • Coordinate all logistics for events to include, but not limited to, catering, technology, entertainment, floor plans, staffing, décor elements, etc.
  • Collect, maintain and process all event details, to include RSVPs, meeting agendas, catering, etc.
  • Develop themes, menu concepts and visual elements for events.
  • Conduct site visits with internal and external guests.
  • Provide on-site assistance at events and oversee special events from start to completion.
  • Create electronic communications for events.
  • Produce materials for events to include, but not limited to, nametags, tent cards, menu cards, etc.
  • Manage invitation lists, collects RSVPs, etc.
  • Communicate with internal and external guests regarding event coordination and progress.
  • Prepare and adhere to event budgets.
  • Process and record invoices for payment.
  • Perform event debriefs.
  • Stay abreast of current event trends in the meeting/event industry.
  • Establish and maintain vendor relationships.
  • Manage the conference center in-house specialty linen inventory.
  • Work closely with the catering team to ensure rooms are set up properly and timely by doing rounds throughout each day.
  • Assist with external events when necessary.
  • Other duties as assigned.
SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE
  • At least 2 years of experience working in a restaurant, catering or a culinary background is encouraged.
  • Experience in hotel events or event planning, preferred.
  • Law firm experience in marketing, operations, or events preferred.
  • Excellent customer service skills.
  • Excellent written and oral communication skills.
  • Strong attention to detail.
  • Ability to multitask.
  • Proficiency in the Microsoft Suite.
  • Experience working with event management technology (i.e. iPublish and Cvent) preferred.
  • Ability to work in a fast paced and demanding environment.
  • Ability to effectively organize and coordinate multiple priorities; ability to work well as a team leader; ability to problem solve and be flexible in daily operation.
  • Ability to work early, evening and weekend hours as needed for meetings and events.
  • Food Safety Certified a plus.
  • College degree preferred.

PHYSICAL AND MENTAL REQUIREMENTS
  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the unit. Bend, lift, carry, reach/extend arms and hands above shoulder height frequently, or otherwise moves in a constantly changing environment.
  • Lifting, carrying, and pushing up to 15 lbs. regularly, 20-25 lbs. frequently, and up to 35 lbs. occasionally.
  • Ability to sit at a desk in front of a computer for extended amounts of time.
  • Reading and writing work-related documents in English.
  • Speech recognition and clarity, including the ability to understand the speech of customers and co-workers and the ability to speak clearly so that you can be understood by customers and co-workers in English.
  • Constantly communicates and receives verbal communication with other employees in fast-paced environment.
  • Physical presence at the job site is essential to perform job duties.
EQUIPMENT USED
  • Typical office equipment (computers, multi-extension phone system, fax, copiers, scanners, among others).
