Under the direct supervision of the Client Billing Manager, and following prescribed department, office and firm procedures, the Client Billing Concierge is dedicated to the unique and specific billing needs of key clients. The position is designed to provide support to billing lawyers of these key clients to address billing and fiscal responsibilities for these clients. The position manages all aspects of billing related tasks to ensure seamless white glove service to the client, as well as, providing a liaison for Client and Billing Lawyer to address issues and items related to invoicing and inventory. This is a full-time, non-exempt position resident in our New York Office with excellent benefits.

Essential Duties and Responsibilities

Billing

  • Provides complete management of all aspects of client billing. This includes using the firm’s paperless billing system, completing transfers, split billing, write downs and narrative changes.
Rates
  • Ensure annual rates negotiations correctly set up for billing correctness
  • Monitor and address any issues that arise for thresholds and volume discounts
  • Ensure all timekeepers set up correctly and approved for Billing and eBilling
Accounts Receivable & Inventory Management
  • Review and address issues related to timely collections
  • Monitor Short payments and propose and process write-offs as necessary
E-Billing
  • Submit invoices into eBilling vendor platforms and via EbillingHub
  • Monitor and address status changes through to approval and payment by client
  • Monitor and submit appeals
Analytics
  • Provide reporting as needed for Client and Billing Lawyer.
  • Address client issues as front line for Billing Lawyer.
Other duties and responsibilities
  • Maintain relationship with Client contact for Billing related issues
  • Other tasks as assigned by the Client Billing Manager.
Qualifications
  • 5+ years’ experience in a law firm Billing or Administrative role is required.
  • Strong computer and database skills; 3+ years’ utilizing a legal-specific system preferred.
  • Advanced oral and written communication skills, including the ability to understand, analyze, interpret, and prepare queries and reports and to converse informatively with lawyers about Billing issues.
  • Strong presentation skills.
  • Familiar with the services delivered by the firm’s IT department.
  • Strong organizational and resource management skills.
  • Strong analytical, problem solving and decision-making abilities.
  • Demonstrated ability to develop and document business processes.
  • Ability to work productively with firm personnel at all levels.
  • Basic understanding of the legal services provided by and the information needs of the firm’s lawyer practice departments.
  • Ability to work under pressure, manage multiple priorities and work within tight deadlines.
  • Strong service orientation and an ability to establish and maintain effective working relationships with peers, office and firm management, and outside business partners.
  • Ability to use independent judgment and maintain confidential information.
Physical Demands
  • Must be able to sit and work at a computer for considerable periods of time, anywhere from 8-10 hours per day.
  • Must be able to routinely lift and carry file folders weighing up to 20 pounds.
  • Position requires extensive telephone use.
  • Must be able to lift, squat, kneel and bend.
Working Condition and Environment
  • Work is normally performed in a typical office work environment.
  • Position is full-time and requires a five-day work week and standard hours as outlined in the Firm policy manual. Additional hours, including weekend hours, are regularly required to meet established deadlines or stay current with occasional peaks in workload.
  • Ability to work well in high pressure environments.
  • Position may require travel to the firm’s US offices.
  • Fully vaccinated for COVID-19, subject to accommodation.
  • This role may be hybrid and will require a minimum of three days per week (or at least 60%) present in the office, and up to two days per week (40%) may be performed remotely.
