Job Summary
The Human Resources (HR) Assistant for the Institute for Applied Life Sciences (IALS) will work with the Director of Finance and Operations to coordinate and execute HR processes for all IALS personnel-related activities, including in support of Core Facilities and the IALS Clinical Testing Center. This position will also provide administrative support in the processing, tracking, and organizing of searches. The HR Assistant is responsible for execution of all unit and non-unit, as well as graduate and undergraduate, employee search / hire actions.
Essential Functions
Perform day-to-day administration of HR/personnel paperwork and ensure timely submission to appropriate offices and compliance with university policiesResponsible for processing all actions associated with searches and hiring including the facilitation of approval of position description, requisition, advertising, and correspondence, including for departmental/IALS faculty co-hires as necessary. Will work with the Executive Assistant to the IALS Director to schedule interviews and visitsCoordinate onboarding process for all new hires and ensure completion of any required paperworkResponsible for preparing, processing, submitting, and tracking all personnel actions related to all IALS hires. This includes actions for staff in over 30 Core Facilities, and the IALS Clinical Testing CenterProvide support and organization for various personnel activities such as performance reviews and FMLA requestsPrepare and track graduate assistantship appointments, reappointments, change of appointments, and terminations, liaising with other departments when necessaryProcess undergraduate student hires/actions and coordinate new hire paperworkServe as primary Time and Labor coordinator (using Peoplesoft HR Direct system) and coordinate weekly time reporting with all staffMaintain accurate, complete, and organized personnel files for all IALS, including faculty co-hired documentation from departments. Exercise discretion in handling confidential informationRun HR-related queries (using tools such as PS/Summit) as neededKeep current with financial related HR policies including up-to-date fringe benefit ratesAble to perform general business office duties as needed, including but not limited to: purchasing, travel reimbursement, Procard reconciliationUndertake special projects as assigned

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)
- High school diploma or equivalent required
- Minimum of two (2) years of full-time (or equivalent part-time) experience in office work or an equivalent combination of education and training sufficient to provide evidence of ability to learn the required duties of the position
- Able to work without supervision, but know when to consult with supervisory personnel for assistance in determining appropriate actions
- Able to maintain accuracy and quality in a fast-paced office environment--handle several tasks simultaneously, prioritize work, and make independent decisions
- Excellent human relations and interpersonal skills, including oral and written communication, ability to maintain harmonious working relationships and to work with others in a diverse community, as well as a commitment to diversity
- Excellent word processing / typing skills, extremely detail-oriented
- Ability to maintain confidential records
- Highly skilled with MS Office products including Word, Excel, MS Teams, Outlook, and able to learn and adapt to new software
- Familiarity with other office software tools such as Zoom, OneDrive, Google Drive/Suite

Associate Degree or higher preferredExperience working in Higher Education preferredKnowledge and understanding of UMass personnel policies and procedures desiredWorking knowledge of University computer systems, specifically PeopleSoft, SPIRE, HRDirect, and PageUp desired
