GENERAL SUMMARY/ OVERVIEW

The MGH Transplant and Cellular Therapy Coordinators play a critical role in the day to day operations of the Stem Cell Transplant and Cellular Therapies programs. They support physicians, advanced practitioners, program nurses, research staff and processing technologists. They assist in the orchestration of high risk, highly complex clinical services while adhering to strict industry standards and guidelines set forth by the Foundation for the Accreditation of Cellular Therapy (FACT), National Marrow Donor Program - BeTheMatch Registry, FDA and Joint Commission. They must act autonomously, use critical thinking and have sound judgment. They are required to manage multiple and diverse computer systems. These systems include but are not limited to portals used to request the manufacturing of cellular therapy products or to coordinate donor searches, work ups and collections. The Transplant and Cellular Therapy coordinators have an impact on patients, donors and their families daily as they prepare them for cell collection, admission, infusion or transplant. The transplant and cellular therapy coordinators are under the supervision and guidance of the department's administrative manager.

PRINCIPAL DUTIES AND RESPONSIBILITIES

Applies to Transplant & Cell Therapy Coordinator Level I

  • Responsible for the proper and efficient scheduling of all clinical services in the outpatient and inpatient setting as it relates to the work up, clearance and collection of related and unrelated donors. Requires formal training and comprehensive understanding of EPIC scheduling and ordering systems.
  • Acts as the primary contact for MGH clinicians, lab technologists, blood transfusion services staff, quality management staff as well as multiple work up specialists from BeTheMatch Registry and their affiliated donor centers located throughout the United States and Puerto Rico. Also, collaborates with our solid organ transplant team on combined bone marrow and kidney transplantations.
  • Must maintain precise and organized records and have a thorough understanding of the complex documentation and clinical testing required for each donor based on the type of collection requested (i.e. peripheral blood stem cells, bone marrow or mononuclear cells).
  • Obtains medical clearance for collection by providing physicians with test results following detailed schemas and checklists.
  • Provides extensive direction and effectively communicates intricate components of care to donors and ensures their understanding of schedules for testing, injections (if applicable) and collection.
  • Prepares day of collection kits containing all required documentation, blood and product collection tubes, and labeling for the stem cell processing lab.
  • Escorts donors to various appointments throughout the hospital as required.
  • Maintains interdepartmental and outside calendars for operating room procedures, blood transfusion services bed availability, lab processing availability and MD availability.
  • Required to complete training as mandated by the NMDP for confidentiality and donor coordination.
  • Routinely reviews and manages donor billing work queues.
  • May be required to assist the Transplant & Cell Therapy Level II Coordinators in the facilitation of CAR-T and autologous stem cell collections.
  • Assists the Transplant Search Coordinator as needed with the time sensitive process of obtaining family member demographic information. This is information used to initiate the process of matching donors and patients for allogeneic transplantation.
  • May be requested to attend annual out of state NMDP conferences.

  • Under the supervision of the Administrative Manager the Transplant and Cellular Therapy Coordinators will follow requirements as mandated by the Foundation for the Accreditation of Cellular Therapy (FACT), Joint Commission (JC), Health Insurance Portability and Accountability Act (HIPAA) and other regulatory bodies as required.
  • Attends weekly, monthly and quarterly meetings as required.
  • Supports the mission and vision of the MGH Cancer Center and demonstrates excellent customer services skills.
  • Staff in this position routinely carry a pager but are not eligible for standby pay.
  • This is an 8 hour per day, Monday-Friday position. Staff are required to be available during regular clinic hours and must have the capability to work remotely if requested.
  • Completes other administrative duties as assigned.

  • Strong medical terminology in the hematology/oncology field preferred

  • Must have the ability to work effectively in a team environment/setting

WORKING CONDITIONS

Office, remote (after fully trained) and clinical setting

Qualifications
QUALIFICATIONS:

EDUCATION

Some College or Associate Degree

EXPERIENCE

1 year of relevant work experience

1-2 years of patient services or clinical research coordination, experience working in a hematologic clinical setting or medical assisting may be considered in lieu of educational requirements
