Job Title: Automation Project Coordinator

Job Summary: Mesa Energy Systems has an immediate need for an Automation Project Coordinator. As a Project Coordinator, you will be responsible for retrofit, TI and new construction automation projects. You will work closely with the Automation Manager and Filed Supervisor to provide updates and attend scheduling meetings.

Duties and Responsibilities:

  • Set up all retrofit and automation jobs
  • Scheduling person - work with department to keep shifts updated
  • Develop and maintain all project folders in SharePoint.
  • Attend job, project review and manpower scheduling meeting - responsible for meeting minutes and documenting tasks that are assigned by management in Planner.
  • Coordinates purchase of necessary supplies, equipment, and services from appropriate sources.
  • Maintain a strong safety program.
  • Issues and enters all PO's and subcontracts required for retrofit projects.
  • Liaison with A/P department regarding invoices, vendor holds, PO cost discrepancies and subcontracts.
  • Reviews and approves vendor and subcontractor invoices monthly.
  • Enters all retrofit weekly timecards and manages payroll issues with the payroll department.
  • Liaison with payroll department for all certified payroll issues.
  • Processes all required permits and pulls in person from cities as needed.
  • Prepares and submits certificates of insurance.
  • Prepares Submittal Manuals as required.
  • Payment & Performance Bonds if required by customer.
  • Prepares any close out documents requested and Operation & Maintenance Manuals if required by customer.
  • Initiate Warranty Letters when required.
  • Oversees and initiates billing for jobs in process and any required Pay Applications by the customer.
  • Prepare WIP Reports for Project Managers at the end of the month.
  • Supports all Project Managers with daily requirements.
  • Provide presale support to the sales team for estimating cost of projects along with generating a detailed scope of work.
  • Manage the overall operations of the contract, including: the performance of daily operations, scheduled installations; administration of subcontracts.
  • Prepare financial forecasts and attend project review meetings. Ensure that the contract is managed in a manner that meets all contractual requirements and Mesa Energy Systems financial goals.
  • Evaluate and insure the efficient operation of the project, controlling operational expenses at a minimum level that is consistent with sound maintenance practices and contractual requirements.
  • Provide administrative and technical direction and supervision to staff in completing work assignments.
  • Coordinates purchase of necessary supplies, equipment, and services from appropriate sources
  • Maintains liaison with architects, engineers and contractors/ subcontractors engaged in plant expansion, renovation, or other major projects.
  • Maintains sufficient records, files, controls, procedures to insure management and work production.
  • Understand and identify contractual scope of work
  • Insure proper recordkeeping and documentation of installation by field personnel.
  • Prepare and provide customers with required closeout documents.
Qualifications:
  • Bachelor's degree in Business Administration or equivalent work experience.
  • A minimum of five (5) years' experience in Automation support in the Controls Service and Construction.
  • Strong background with Construction forms, submittals, drawings, equipment tracking and shipment schedules.
  • Strong administrative skills.
  • Computer literate in Microsoft Products.
  • Excellent verbal and written communication skills.
  • Ability to coordinate and work well with others.
  • Ability to work independently or as member of a team.
  • Ability to adapt to ever changing priories.
