A.T. Still University (ATSU) is seeking an Operations Assistant for the A.T. Still Research Institute (ATSRI) on the Mesa, Arizona campus. The Operations Assistant will provide comprehensive administrative assistance to the ATSRI Director and ATSRI Center Directors, thus assisting in all research institute activities and events.

The Assistant will coordinate ATSRI research meetings/symposia (in person, virtual, and hybrid), communicate with research membership and External Board members, schedule and co-host ATSRI events, facilitate departmental budgeting and tracking, generate required reports/metrics, assist with recruiting/hiring/managing research interns, coordinate ATSRI consultant/contract management, and other complex administrative/operational duties as assigned. The Operations Assistant must contribute to a positive institutional image and interface/interact professionally with institute members, collaborators, ATSU colleagues/departments, and other research stakeholders. The Operations Assistant must also maintain excellent attendance and punctuality and demonstrate initiative, positivity, enthusiasm, promptness, and be a self-starter. Lastly, the Operations Assistant must be dependable in carrying out instructions/duties and use effective thought, vision, creativity, and analysis to make progress in the best interest of the institute.

Duties and Responsibilities:

  • Provide comprehensive administrative assistance to the Director of the ATSRI plus the Center Directors.
  • Communicate/correspond with both internal & external personnel & external board members.
  • Schedule/coordinate/co-host ATSRI events, research training programs & meetings involving multiple
    national experts, local project administrators, & faculty/student researchers.
  • Arrange/coordinate appropriate facilities for all ATSRI related programs & meetings (including Advancing Skills in Osteopathy (ASO) courses and Interdisciplinary Biomedical Research Symposium (IBRS).
  • Coordinate/oversee travel arrangements for both internal & external program personnel.
  • Track activities for various personnel of the ATSRI.
  • Perform database management and generate reports/metrics.
  • Develop/process agreement/contracts with external consultants/faculty.
  • Assist faculty with meeting regulatory compliance.
  • Facilitate departmental budgeting and tracking, including ordering materials, equipment, and inventory.
  • Assist with recruiting/hiring/managing research interns
  • Perform other relevant ATSRI administrative duties, as assigned.
  • This position is responsible for successfully managing the Institute's social media accounts; planning/ implementing/co-hosting ATSRI conferences, events, and meetings; coordinating with attendees and ATSU employees for ATSRI continuing education programming; and providing comprehensive administrative support to the Director, Center Directors, ATSRI staff, and member scientists.

Education and Experience:
  • Bachelor's degree in business/marketing or related field
  • Two to three years experience with event planning, project management, and technology (social media, computer programs, etc.).
  • Familiarity with faculty/professional development and higher education/academic medicine.
  • Solid experience in event planning and advertising.
  • Strong computer/software and social media skills are necessary.
  • Knowledge of professional office procedures, basic accounting, and project management is important.
  • Strong familiarity and comfort with technology.

Skills and Characteristics:
  • Critical thinking and problem solving skills required.
  • Strong computer/software proficiency required in Microsoft Word/Excel/PowerPoint/Access, etc.
  • Email, e-Calendar, and Zoom proficiency required.
  • Experience or desire to learn Adobe Creative Suite, RedCap, Canva, Slack, etc. are important.
  • Background in web design and the use of social media is strongly preferred.
  • Requires confidence and efficiency in professional interaction and communication skills.
  • Industrious team player who can also work independently.
  • Must be tactful, assertive, detail-oriented, and highly organized.
  • Critical thinking skills.
  • Works well under deadlines with the ability to make sound decisions.
  • High level of adaptability and flexibility are important.
  • Ability to multi-task

Some travel will be necessary. Some events may occur outside of regular work schedule.
