The Office of the University Registrar (UREG) at the University of Virginia seeks a dynamic, experienced individual to join its collaborative leadership team as Associate University Registrar for Student Records and Credentialing Services.

Part of the Enrollment Division, UREG advances the university's teaching mission by maintaining the accuracy, integrity, and security of student academic records. The Associate University Registrar for Student Records and Credentialing Services provides leadership and strategic guidance and manages the operational aspects of student records support and credentialing services in UREG. They serve on the office's leadership team and work closely with the Associate Vice Provost for Enrollment and University Registrar, the Associate University Registrar for Policy and Compliance, and the Assistant University Registrar for Course Operations. The successful candidate will have substantial knowledge of university registrar functions and demonstrated success as an engaging, collaborative manager committed to building equitable, inclusive, high-performing, and healthy teams.

Provide leadership and strategic guidance for student records (SR) support and credentialing services.

  • Possess extensive functional knowledge of student records support and credentialing processes in the Student Information System (SIS-PeopleSoft), including Student Records (SR), queries, academic structure, academic calendar development, degree conferral, transcript and diploma production, and enrollment/degree verifications.
  • Manage the Student Records Support and Credentialing Services Teams in the Office of the University Registrar: meet regularly with direct reports and teams; provide guidance and support as needed to promote their professional and personal development and success.
  • Creatively and actively solicit feedback about performance and priorities from direct reports and others and demonstrate willingness to be held accountable for improvement.
  • Work with team members and others in the Office of the University Registrar to set strategic team priorities that best support students and their families, graduates, and colleagues.
  • Collaborate with the associate university registrar for policy and compliance and colleagues in Student Financial Services to support enrollment reporting to the National Student Clearinghouse.
  • Manage functional processes related to student academic records in the Student Information System (SIS) and oversee development of academic structure in SIS. 
  • Ensure processes are in place to review, track and examine trends related to withdrawals, leaves of absence, academic probation, and suspension, as well as academic honors, dean's list and graduation.
  • Design solutions that leverage SIS functionality to improve services to schools, departments, and administrative units.
  • Increase knowledge of and train others on institutional policies, regulations, and procedures related to applying transfer credit to student records.
  • Serve as a resource to students, families, and others who need enrollment and academic credentialing.  
  • Support team efforts to design solutions that improve transcript and certification services to students/graduates, third parties, and administrative units.  

Provide critical, strategic thinking and leadership to the Office of the University Registrar, Enrollment, and the university community.

  • Serve as a problem-solver responsible for organizing daily centralized student records operations that support related academic functions in each of the university's twelve schools.
  • Provide strategic guidance and vision for optimizing the centralized/distributed model of student records support at the university.
  • Demonstrate commitment to ongoing professional and personal growth, including your own.
  • Participate actively and collaboratively on university committees and working groups designed to improve student record processes.
  • Working with other members of the leadership team in the Office of the University Registrar, cultivate a well-supported, highly professional registrar community across the university.
  • Manage projects supporting student records and credentialing services, identify process improvements, and track progress towards goals.

Support UREG team in providing high quality services to students, families, and the university community.

  • Respond to inquiries from students, families, and university colleagues professionally with compassion and a willingness to help them navigate the complex processes of a large research university. 
  • Collaborate with colleagues to improve processes in areas that overlap with student records and credentialing services.

Qualified candidates must hold a master's degree and have at least five (5) years of experience in academic administration. In addition, they must possess the following qualities and skills:

  • Ability to communicate effectively, both orally and in writing, with people from all levels and backgrounds at the University, including students, families, and faculty members-successful candidates must excel in this area and will be able to demonstrate their ability to do this particularly well in challenging contexts 
  • Ability to lead and manage projects and groups effectively in a decentralized environment-ability to build trusting, collaborative relationships and inspire others to work toward a common goal without needing formal authority to be successful-successful candidates must excel in this area and will be able to demonstrate their ability to do this particularly well in challenging contexts  
  • Deep intellectual curiosity and desire to understand the principles and values that shape cultures and processes in particular ways; ability to draw upon that understanding to recommend changes that advance those principles and values 
  • Excellent analytical skills-ability to independently define problems accurately and concisely, using both quantitative and qualitative methods, develop and execute one or more solutions, and evaluate its effectiveness 
  • Ability to work successfully with individuals from diverse backgrounds, cultures, and life experiences  
  • Ability to achieve success within a rapidly changing and, at times, uncertain environment-must be comfortable with and inspired by the prospect of change 

Preferred requirements include a doctoral degree, at least five (5) years of experience in a university registrar's office, and three (3) or more years successfully managing teams.

The Associate University Registrar for Student Records and Credentialing Services will report to the Associate Vice Provost for Enrollment and University Registrar.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.

This position is located in Charlottesville, VA.

Anticipated Hiring Range: $80,000 - $100,000, commensurate with education and experience. This is an EXEMPT level, benefited position. For more information on the benefits at UVA, visit hr.virginia.edu/benefits.
