Position Summary

The Administrative Support Coordinator II is responsible for the general administrative operation of the School of Public Health and will act as lead to administrative staff and student workers. The position serves as a resource for the school faculty and staff, and both on-site and off-site research centers/institutes.

The Administrative Support Coordinator II is responsible for a broad range of day-to-day operations and special projects and must have a comprehensive understanding of campus, college, and school policies. They will act as the first point of contact for administrative policy, procedures and processes for the School of Public Health. The Administrative Coordinator II must be experienced in the range of operations necessary for the high level functioning of an academic department or school as the incumbent will provide training and leadership to other staff who support processes such as class schedule entry, purchasing, graduate programs, and a wide variety of student centered programs.

The position is responsible for instructional, non-instructional, operating and San Diego State University Research Foundation budgets associated with the school and requires a high level of knowledge regarding policies and procedures related to faculty appointments and order of hire requirements.

Duties include but are not limited to the processing of faculty and student appointments, compilation of reports related to faculty workload, oversight of the faculty retention, tenure and promotion (RTP) process and other personnel-related activities. They will assist as needed with the drafting of accreditation reports to Association of Schools and Programs of Public Health (ASPPH) and the Council on Education for Public Health (CEPH), provide administrative support to director and SPH committees, and provision of training to faculty and staff on university, college and school procedures and policies.

This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

The individual hired into this role will work on campus at SDSU in San Diego.

Department Summary

The School of Public Health (SPH) is one of five schools in the College of Health and Human Services. The SPH offers an undergraduate degree in public health, a number of graduate programs leading to the Master of Public Health (MPH) degree, Master of Science degrees, and joint MPH/Master of Social Work and MPH/Master of Arts in Latin American studies, as well as Joint Doctoral programs with the University of California, San Diego leading to doctoral degrees in Epidemiology, Health Behavior, and Global Health. The SPH is also home to four research and public health practice institutes and centers, and three labs.

Education and Experience

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Key Qualifications

  • Experience coordinating administrative support functions for a group.
  • Lead and/or supervisory experience.
  • Experience working in a large and complex organizational setting such as higher education, public agency, government, military, or health care.
  • Experience with development, coordination, and tracking of complex budgets and schedules.
  • Experience with class schedule development, faculty appointment policies and procedures, and faculty workload requirements is preferred.
  • Purchasing and travel processing experience.
  • Familiarity with standard budget and accounting practices.

Compensation and Benefits

Starting salary upon appointment is not expected to exceed $4,344 per month.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

CSU Classification Salary Range: $3,681 - $6,034 per month.
