Location of position: Lincoln NSOB

Work schedule: Monday - Friday, 8:00 am to 5:00 pm
Examples of Work

This position provides critical support to DD Central office personnel and DD Service Coordination operations. The Staff Assistant II position is responsible for the following critical tasks to ensure quality oversight and support to the delivery of services for our State's most vulnerable population (individuals/participants with developmental disabilities): posting and maintenance of various guidance and directory documents on the DD SharePoint site, update the DD staff directory and map, assign newly eligible individuals to Community Coordinator Specialists (CCS) and Service Coordinators (SC) as well as track SC participant caseloads for equal distribution, track and report Service Coordination staff personnel actions (new hires, resignations, promotions, transfers, etc.), update/print Service Coordination training material as well as schedule trainings, update and provide training agendas to SC's and their supervisors, locate and reserve lodging as needed, schedule/organize quarterly SC meetings across the state for all Service Coordination staff and DD provider staff, update SC contact lists, and provides coverage and back up to fellow employees in their absence which includes providing support and monitoring various tasks within the Division's Therap system (which houses claims data, participant service authorizations, participant's services budget information) as well as oversight/provision of access to the Therap system.
Qualifications / Requirements
REQUIRED: Either a post secondary degree in office management, secretarial/office support, customer service, administration, or related area or one year experience in office management, secretarial/office support, customer service, or administration, including use of computer software such as word processing, spreadsheets, and database management, or one year of coursework/training or experience involving research, presentation, or publication in an area related to human services or customer service.

PREFERRED: Prior or current experience with Developmental Disabilities, Medicaid and Children and Family Services or Economic Assistance. Demonstrated ability to work with multiple computer systems. Proficient at MS Word, Outlook. Demonstrated proficiency creating and using Excel spreadsheets. Experience in other Software systems such as: ONBASE, NFOCUS, NDEN, and Therap. Experience operating multi-line phone systems. Strong communication and organizational skills.

OTHER: Ability to travel to other office locations if necessary. Position may require long periods of sitting and occasional light lifting and ability to provide independent authorized transportation.
Knowledge, Skills and Abilities
Knowledge of: office processes and procedures; customer service processes and principles; administrative and office/clerical support procedures and associated computer applications such as word processing, file management, record keeping, and database management.

Ability to: formulate and recommend alternative courses of action; communicate and exchange information and ideas with others; create charts, graphs, and/or reports using word processing or other computer applications; summarize technical data and results of research into reports; track and monitor information; retrieve information from a variety of sources; coordinate resources and people; learn organizational structure, mission, and activities of the employing agency; learn agency policies and procedures and sources of information pertinent to the assigned work; agency policy and procedures.

Skill in: active listening; asking questions; understanding instructions; using word processing; creating spreadsheets, charts, graphs, and reports; managing time, schedules, and priorities; monitoring and assessing program performance; applying critical thinking techniques.
