The Administrative Manager is responsible for managing and coordinating administrative services such as space planning, lease negotiations, fleet management, purchasing, vendor management and negotiations, maintenance, security, office equipment, mail and messenger services and office clerical and support services.

What Do You Get To Do In This Position:

  • Maintains working relationship with Principals, Human Resources and Administrative Leads to continually assess near-term and long-term space planning requirements.
  • Establishes and maintains productive working relationships with property management staff and real estate brokers to negotiate, optimize and maximize return on leasing expense.
  • Provides monthly space planning reporting and forecast to Rincon executive team.
  • Handles tenant leasing relationships and renewals.
  • Manages 25+ Rincon-owned vehicle fleet and field equipment to ensure routine maintenance and safety standards are met.
  • Works with risk management to ensure proper insurance coverages are maintained.
  • Centralizes all purchase and vendor management contracts.
  • Obtains a minimum of three competitive bids within 180 days of current contracts expiring, those contracts exceeding $5,000 in annual expense and any new contract expected to be signed for two years or longer.
  • Manages Administrative Services operating budget to minimize cost overruns, exceptions and unneeded or redundant services.
  • Manages all aspects of maintenance, safety, security, equipment, mail service and office support.
  • Acts as the primary point of contact for issues related to the above.
  • Participates in selecting office Administrative Leads and maintains regular contact with this group to ensure:
    • Ongoing janitorial duties are completed, and maintenance issues are identified, communicated to Administrative Services Manager, and addressed timely to minimize loss of productivity and mitigate expense and loss exposure to Rincon;
    • Security measures are taken to safeguard staff, protect corporate-owned assets and minimize loss exposure;
    • Equipment needs are understood and requests for new/replacement equipment effectively vetted for business necessity; and
    • Ensures that each office has an identified Administrative Lead

This Job Might Be For You If You Have The Following:
  • Minimum High School diploma or equivalent
  • Five years or more of administrative, operations and/or facilities management experience
  • Demonstrated experience developing and running facilities safety and security programs
  • Excellent communication, planning, budgeting and organizational skills
  • Proven vendor management and negotiation skills
  • Strong business acumen and customer service skills
  • Positive attitude and eager to streamline and improve process and workflows
  • Highly motivated with strong interpersonal and communication skills and the ability to work independently or as part of a team
  • Detail-oriented, resourceful, strong time management skills, and innovative

Desired
  • Bachelor's degree in business
  • Certified Facilities Manager (CFM) credential
  • Certification through National Contract Management Association (NCMA)
