Reporting directly to the Executive Director of Physical Medicine and Rehabilitation Medicine/Spaulding Rehabilitation Associates and the Senior Financial Analyst the Administrative Manager works collaboratively with departmental leadership to assist in managing the financial and administrative components of the PM&R Division and Spaulding Rehabilitation Associates related to the professional staff and their activities. This includes but is not limited to the effective management of the group practice (on site and off site), professional compensation, personnel matters, financial planning and implementation, professional billing, and compliance.

General:

  • Assists the Executive Director, Senior Financial Analyst and Chief/Chair of Service with the establishment and implementation of departmental policies and procedures.
  • Leads the communication and implementation of MGPO, MGH, BWH and policies and procedures related to the professional group and the group practices.

Finance:
  • Works closely with the Executive Director and Senior Financial Analyst in the development and implementation of the Physician Compensation Plan.
  • Works closely with the Executive Director and Senior Financial Analyst on the operating and capital budgets related to the professional groups.
  • Manages Department's professional billing to optimize front end processes and to ensure optimal collections. Works closely with the Professional Billing and Compliance Office to ensure excellence in billing processes and to address any questions or concerns.
  • Oversees and approves all financial transactions (payroll, travel requests, employee salary/data changes, journal entries, check requests, etc.).
  • Conceptualizes and performs a variety of financial analyses
  • Prepares and presents various statistical reports, cost analyses, research funding surplus/deficit projections, and budget justifications.
  • Develops and implements strategies for cost containment
  • Manages MGPO special payment arrangements and transfers (e.g., "backstop" transfers from SR Associates sites/divisions to MGPO)
  • Works with SR Associates site finance directors to coordinate intercompany transfers and budgets.
  • Manages outside contracts, invoices and payments.

Physician management:
  • Supports the Executive Director identifying physician staffing needs.
  • Assists Executive Director and Search Committee on physician and advanced practice practitioners recruiting activities.
  • Conducts orientation and performs "on-boarding" functions for new providers
  • Serves as resource for all issues related to professional staff benefits
  • Assists Executive Director in managing MGPO Quality projects and requirements - develop measures, measure, gather data, and submit to MGPO

Personnel
  • Manages department personnel issues including all staff transactions (hiring, salaries, promotions, annual reviews, job descriptions, corrective action). Makes all changes to compensation, salary sources, etc. in People Soft system
  • Works with MGPO as division resource for issues related to employee benefits
  • Executes weekly payroll using Kronos

Practice Management:
  • Analyses strategic opportunities with Executive Director: determines additional opportunities for practice within the MGB Healthcare System.
  • Manages professional staff activities at all group practice sites (e.g., SRN, SHC, SRB, SCC)
  • Manages PM&R Division Special Programs
  • Implements MGPO and BWH ambulatory initiatives.
  • Manages Department's customer service initiatives. Monitors and analyzes monthly service statistics.
  • Manages safety, regulatory, emergency preparedness issues for the division.
  • Ensures compliance with Hospital guidelines and all local, state, and federal regulations as well as accrediting agencies and regulators.
  • Ensures that all groups are compliant with OPPE/FPPE processes.

Research
  • Interfaces with Research Management at SRN regarding issues with research finances and investigators as applicable

Systems
  • Reviews weekly NRC dashboard and patient comments and follows up as appropriate.
    Serves as a resource for physicians/APP's with coding, record reviews, and other compliance activities.
  • Manages EPIC requests and approver for users of clinical systems.
  • Responsible for outside contracts and entering into contract database (Salesforce)

Other:
  • Oversees the development, preparation, and distribution of department publications/communications
  • Assumes responsibility for complex special projects as assigned (department-specific, hospital-wide, and system-wide projects)
  • Other duties as assigned

Regular Meetings and Conference Calls
  • Monthly professional billing meetings
  • Assist in organizing monthly faculty, division chief and inpatient clinical care team meetings
  • Attends meetings as appropriate


Qualifications
  • Degree in health care administration, or related field required.
  • 3-5 years of experience in a supervisory or management role preferred
  • Highly proficient PC skills (MS Office, Windows, Excel, Access). Prior experience with MGH/|MGB systems helpful but not essential.
  • Experience working with physicians in a managerial capacity preferred.

WORKING CONDITIONS:

Standard office working conditions

Local travel among SRN/MGH/BWH sites
