Position Purpose:

To provide administrative support to supervisors/department and to coordinate activities that will increase department efficiency, expedite/coordinate the work of others, support department functions, and ensure smooth operation of the department.

Required Qualifications - Education and Yrs Exp:

Associates or equivalent combination of education and experience

Experience

  • Three plus years of office experience in a related field, with a high degree of autonomy

  • In-depth knowledge of office procedures
  • Strong organizational and planning skills and ability to set priorities.

  • Initiative, sound judgment and ability to work independently.
  • Ability to maintain confidentiality.

Description:

General Office Support

  • Screens visitors and callers and decides appropriate action based on priorities, commitments, and interests of department.
  • Supervises student interns and student office assistants.
  • Assists with coordination and scheduling of a variety of activities to support office functions, meetings, and events.
  • Assists with purchasing for the Department/Office.
  • Assists with arranging travel and hotel for visitors and guests.

Special Projects

  • Assists with special projects related to departmental programs and initiatives.
  • Assists with special events (conferences, dinners, luncheons, retreats, etc.) including locating and reserving facility space, arranging necessary services, and coordinating schedules and itineraries.

Description:

Financial Management Support

  • Assists with tracking and submission of expenditures for multiple accounts to ensure accurate records of approved department budgets.
  • Assists in the allocation, and tracks spending of endowed funds.

Description:

Communications

  • Serves as a primary point of contact, representing the department/office to the institution and external constituencies when the department administrator is not available.
  • Serves as an additional source of information for department policies and procedures.
  • Assists with development of department publicity activity including work in multiple media, to coordinate a wide range of department publications/communications.
  • Regularly handles confidential or sensitive information and exercises discretion concerning its disposition.
  • Applies office, department, and College policies and procedures.
  • Communicates respectfully with a diverse community.
