Department Information

The Indiana Institute on Disability and Community (IIDC) is one of only 67 University Centers for Excellence in Developmental Disabilities. The Institute conducts research and training through 7 Centers: Early Childhood Center, Center on Education and Lifelong Learning, Center on Community Living and Careers, Center for Health Equity, Indiana Resource Center for Autism, Center for Collaborative Systems Change, and the Eppley Institute on Parks and Public Lands.

The person in this role is responsible for organizing, and executing all logistical aspects of the Indiana Resource Center for Autism's (IRCA) and the Indiana School Mental Health Initiative's (ISMHI) strategic plan related to staff support. The Administrative Assistant manages and oversees all logistics related to travel, training and coaching in the community. This position's duties include overseeing and maintaining an efficient office, handling calls, updating resource lists, and assisting with maintaining databases and apps.

Job Summary

Department-Specific Responsibilities

  • Organizes, and executes all logistical aspects of the Indiana Resource Center for Autism's (IRCA) and the Indiana School Mental Health Initiative's (ISMHI) strategic plan related to staff support.
  • Manages and oversees all logistics related to travel, training and coaching in the community.
  • Oversees and maintains an efficient office, handles calls, updates resource lists, and assists with maintaining databases and apps.
General Responsibilities
  • Provides administrative support to a department or group of professionals, exercising confidentiality, tact and diplomacy.
  • Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports.
  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
  • Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses.
  • Participates in the development and implementation of administrative standards, policies and practices for the organization.
  • May perform other duties related to maintaining an internal website and/or working with social media.

Qualifications

EDUCATION

Required
  • High school diploma or GED.
WORK EXPERIENCE

Required
  • 2 years of relevant experience.
SKILLS

Required
  • Excellent organizational skills.
  • Demonstrated ability to maintain confidential information.
  • Strong verbal communication and listening skills.
  • Demonstrates excellent judgment and decision making skills.
  • Ability to simultaneously handle multiple priorities.
  • Maintains composure under pressure.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
