- Three (3) years of experience providing administrative support in a professional office environment.
- Strong problem-solving and interpersonal, oral, and written communication skills.
- Ability to manage workload effectively with competing deadlines and priorities.
- Ability to gather, coordinate, and compile data as needed for special projects.
- Proficient in Microsoft Office software, including Teams, Excel, Word, Outlook, and PowerPoint.
- Ability to work independently and as part of a team.
- Experience in basic office budgeting, purchasing, travel arrangements, and processing travel reimbursements.
Preferred Qualifications:
- Knowledge of Texas State University's organizational structure
- Knowledge of Texas State University policies and procedures
- Knowledge of budgetary functions in SAP
- Knowledge of general human resources principles and practices
- Proficiency in Adobe Sign software
- Experience working in Concur
- Bachelor's Degree
- Experience working in a post-secondary learning center or academic assistance/engagement area.
Job Description:The Administrative Assistant III provides high-level, direct support to the director by managing the day-to-day operations of the SLAC office.
Job Duties:
- Oversee general office functions for the entire SLAC program.
- Hire, train, schedule, supervise, and evaluate five to six student employees per semester, including a designated student accountant. Assign specific duties and recognize individual students' abilities, capacities, and limitations.
- Oversee expenditure of funds in SLAC's various accounts. Make independent spending decisions from maintenance and operations budgets, including buying supplies, materials, and equipment.
- Oversee and assist student accountant in reconciling SLAC's accounts with SAP and resolving problems with budgeting. Record budget transactions and payroll to ensure that accurate records are maintained.
- Review transactions and maintain up-to-date balances of all office budgets. Notify director of any discrepancies.
- Delegate and monitor through completion the following tasks: SLAC HR and data entry, student employment, payroll documentation and time entry on SAP, duplicating, and word processing projects.
- Prepare and track all additional SAP and office documents (i.e., PCRs for new hires, rehires, rate increases, change of cost center, etc.; time entry; travel; purchasing; p-cards;) for SLAC program, which includes nine professional staff members and approximately 120-180 student employees.
- Help establish policies and procedures for the SLAC program.
- Design, create, and manage complex filing system.
- Complete special projects such as assisting with coordination of SLAC functions (award banquets, training sessions), soliciting door prizes, and collaborating with others to gather materials for professional conferences.
- Attend university workshops for professional training and personal development.
