This position is based out of our Birmingham AL location.

The Administrative Assistant will be responsible for providing a wide range of day-to-day administrative support to ProAssurance Agency and Direct Sales team. The administrative assistant must have excellent interpersonal skills, appropriately and discreetly handle sensitive and confidential information or situations. Independent judgment is required to plan, prioritize, and organize a diversified workload in a fast-paced environment.

Essential Duties and Responsibilities:

50% - Administrative support for day-to-day operations:

  • Coordinates, distributes and organizes mail for ProAssurance Agency and Direct Sales.
  • Responsible for new Broker/Producer contracts and setting up the accounts and commission schedules in Epic.
  • Audit Broker/Producer contracts on an Annual Basis to maintain updated E&O certificates, commission schedules, etc.
  • Coordinate with PRA Accounting on receiving checks and mailing them accordingly with the correct documentation.
  • Prepare and distribute expiration reports/account rounding reports to the different business development representatives.
  • Responsible for maintaining carrier contacts of carrier partners, underwriters, claims information and marketing representatives.


45% - Administrative support for Marketing/Conferences:
  • Prepares conference forms to secure booth space along with any sponsorship forms and requests payment from the appropriate departments.
  • Coordinates business travel arrangements as needed.
  • Coordinates and provides administrative support for internal meeting by scheduling and securing conference rooms as needed.
  • Coordinates and provides administrative support for external meetings by ordering and maintaining marketing inventory for each department.
  • Assist with marketing efforts including e-Blasts.
  • Responsible for reconciliation of expenses for Management as needed.


Secondary Responsibilities:

5% - Additional responsibilities:
  • Coordinate with Agency Licensing department on requesting copy of business development representatives and managements insurance licenses to verify they are current and attached in the shared drive.
  • Perform special projects and other duties and support team members as directed by management.
  • Research projects to support business development representatives and management.


Qualifications:
  • High school diploma required. Associate degree, certification or advanced training preferred.
  • Minimum of 2 years administrative experience required. Additional years beyond 2 preferred.
  • Experience in an insurance company/agency environment is highly preferred.
  • Extensive skills required with a strong need for expertise in MS Office Suite as well as internet research abilities.
  • Effective communication skills - listening, writing and facilitation.
  • Excellent organizational skills and the ability to handle multiple tasks effectively.
  • Detail orientated and possess excellent analytical and document management skills.
  • Ability to operate standard office equipment including, but not limited to computers, copiers, scanners, etc.
  • Communicates with co-workers, management, clients and others in a courteous and professional manner.
