Northrop Grumman Space Systems Sector designs, builds and delivers space, defense and aviation-related systems to customers around the world. Our main products include launch vehicles and related propulsion systems; missile products, subsystems and defense electronics; precision weapons, armament systems and ammunition; satellites and associated space components and services; and advanced aerospace structures.
Our Launch and Missile Defense Systems Office, located in Chandler, Arizona, is seeking an Executive Assistant to add to our team. This position provides administrative support to members of our executive staff, specifically our business development Senior management as well as other functional leaders in the Division.
The Executive Administrative Assistant anticipates and facilitates organizational, administrative, support and clerical needs in order to contribute to the effective operation of the office. Work assignments are complex in nature, where considerable initiative, judgment, tact, discretion, and creativity are required in resolving problems. Some travel is required. A clearance is a preferred requirement.

The primary responsibilities of the position include but are not limited to:

  • Coordinates schedules: manages calendar and schedules appointments, prioritizes appointments, tracks schedule, prepares participants for upcoming meetings, proactively collects meeting and read-ahead materials, ensures that key meetings are attended and deadlines are met
  • Coordinates events and communications between executives and departments
  • Researches key issues
  • Prepares complex presentations for use with executives, customers, associations and public offices, and external special interest groups. Requires extensive use of Word, PowerPoint and Excel
  • Coordinates with administrative assistants across the corporation on meetings and events
  • Prepares and manages weekly department reports and other financial reports
  • Screens incoming calls, email and correspondence and responds independently when possible
  • Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings
  • Prepares expense reports and reimbursements
  • Maintains confidentiality of all business, personnel, and research matters.
  • Produces correspondence and presentations. Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final product
  • Deals with a diverse group of important external callers, including media; visitors, and internal contacts
  • Plans for and coordinates office and IS requirements for visitors, including VIPs and executives
  • Handles confidential and non-routine information
Qualifications
  • Strong written and oral communication skills
  • Strong organizational skills and detailed-oriented
  • Able to work well independently, and as part of a team
  • Able to effectively handle multiple tasks
  • Proven expertise in the use of high-level knowledge of Word, PowerPoint, Excel, Outlook and use of the Internet, including social media; able to learn new programs and databases
  • Demonstrated ability to handle complex work assignments, where considerable initiative, judgment, tact, discretion, and creativity are required in resolving problems
  • High level of interpersonal skills to handle sensitive and confidential situations
  • Position continually requires demonstrated judgement, poise, tact, and diplomacy
  • Able to maintain a high degree of accuracy and confidentiality
  • Possesses good analytical ability in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work


Qualifications:

Basic Qualifications:
  • High School diploma or equivalent and 6 years additional education and/or related experience.
Preferred Qualifications:
  • Minimum of 10 years related work experience, including a minimum of 5 years' experience supporting senior leadership
