About the Position:

This role is an on-campus, in-person position.

The Hegi Career Center Administrative Assistant is responsible for assisting the Executive Director and supporting Associate Directors by managing the overall logistics and daily operations of the career center. This position manages the welcome area of the office, department purchasing, assisting with small and large event management, and answering correspondence via phone, email or in person. This position is also responsible for executing projects and providing Handshake database management support.

Essential Functions:

  • Effectively inform and communicate with participants, instructors, and client contacts. Manage and cultivate relationships with all Center stakeholders to ensure superior performance. Serve as the primary entry point of contact with students, employers, and campus staff that reach out to the Hegi Family Career Development Center in person, via phone, and through general email correspondence.
  • Leverage data base management via the Handshake Career Services platform. Work collaboratively in Handshake with office teams to approve employers, jobs, and student accounts, manage employer interview schedules, create event postings, and assist in the coordination of on-campus recruitment. Pulls data reports from Handshake at the request of Executive Director.
  • Provide administrative support to the offices of Career Development and Employer Relations housed in the Hegi Family Career Development Center. Manage and approve time for student assistants working at front desk. Manages Acers Conference room reservations and calendars. Submits and coordinates all facility requests for custodial and repairs. Creates Qualtrics surveys, reports at Executive Director's request.
  • Ensure timely and exceptional service delivery through scheduling and logistical coordination of Center events, as well as the preparation and distribution of program materials for both participants and campus partners. Process career fair payments, office supplies orders, catering, event support, and materials organization.
  • Engage/collaborate with constituents to serve as the operational arm of the Hegi Family Career Development Center. Contribute by developing strong team-based internal and external relationships, as well as supporting and assisting other team program managers in achieving continuity and high standards of service.
  • This position requires some evening and weekend work for delivery of programs.
  • Other duties as assigned


Qualifications

Education and Experience:

High school diploma or equivalent is required.

A minimum of 2 years professional experience in office administrative support is required. Higher education experience is preferred, but not required.

Data entry and status management experience is desired.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills and attention to detail is essential.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.

Candidate must have a strong customer service background.

Candidate must demonstrate proficiency in Microsoft Office (Word, Excel, Power Point and Outlook).
