PRIMARY POSITION FUNCTION:

The School of Integrative Biology is searching for an Administrative Aide who will provide support for the Director of the School of Integrative Biology (SIB), the Associate Director of Academic Affairs SIB, and the Head of the Department of Evolution, Ecology & Behavior.

DUTIES AND RESPONSIBILITIES:

Provide administrative support to the Director and Associate Director of Academic Affairs

  • Coordinate schedules
  • Prioritize and manage calendars, appointments, meetings, and related activities
  • Invite and notify participants
  • Arrange and schedule conferences, meetings, seminars, teleconferences, and other School functions
  • Remind of upcoming engagements and deadlines
  • Serve as liaison between the Director/Associate Director and faculty and staff of the School, College of Liberal Arts & Sciences, and campus units
  • Review Director's/Associate Director's mail, draft response, screen and redirect as necessary
  • Manage and control confidential documents
  • Assemble data and prepare reports as required
  • Provide administrative support to the Director, Associate Director, and Department Head, including P&T documents
Assist Associate Director with Faculty and Student Affairs
  • Manage academic issues with instructors, graduate assistants, and students
  • Receive and respond to academic integrity allegations
  • Schedule meetings for Academic Integrity committee
  • Serve as liaison for Instructor/TA grievances Schedule TA disciplinary meeting
  • Keep records of all Associate Director's meetings
  • Manage online survey and forms
  • Create survey and forms for evaluating iFLEX classrooms
  • Create surveys for TAs' evaluation of supervisors and supervisors' evaluation of TAs
  • Organize and distribute survey and forms results to appropriate recipients
  • Handle all issues relating to the Natural History Building, including but not limited to
    • Classroom supplies
    • Technology problems
    • Approval of repairs
    • Oversee school-sponsored conferences, symposia, lectures, and special programs
    • Assist with registration and enrollments for SIB Communication/Development Duties
Assist the Director and Development Officer with alumni relations and development activities
  • Coordinate and oversee the awarding of all development funds
  • Assist with stewardship activities for endowed funds Correspond with alumni as required
  • Oversee development and maintenance of SIB, departmental, and interdepartmental program websites
Work with the Director and Communications Coordinator in organization of communications
  • Annual newsletter IB alumni newsletter Holiday card Special invitations, messages, and announcements
QUALIFICATIONS

1. High school graduation or equivalent

2. Any one or any combination totaling five (5) years (60 months) from the following categories:

A. college course work in business, finance, accounting or a related field:
  • 60 semester hours or an Associate's degree equals one (1) year (12 months)
  • 90 semester hours equals two (2) years (24 months)
  • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
  • Master's degree or higher equals four (4) years (48 months)
B. progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles

Successful candidates will have Ability to operate computer systems, using word processing, database and software packages; Ability to anticipate needs and establish priorities and to work under pressure; Strong organizational skills; Sound judgment to ensure efficient operation; Knowledge of the academic community and its organizational structure; Self-motivated with a high degree of initiative; Excellent written and oral communication skills; Ability to exercise discretion in handling sensitive and confidential information; Awareness of, and sensitivity to, cultural and linguistic differences; Commitment to diversity and inclusion.

SALARY AND APPOINTMENT INFORMATION

This is a full-time Civil Service Administrative Aide position appointed on a twelve (12) month service basis. The expected start date is as soon as possible after the closing date. Salary is commensurate with experience and qualifications.
